We switched to private insurance for this.  Since it is no longer an 'other tax' item but a deduction, how do we get it to show up on our W2s

Hi ncuneo!

Allow me to set this up on your QuickBooks Desktop Payroll.

You can add a deduction payroll item to track the Massachusetts Paid Family and Medical Leave. Please follow these steps:

  1. Go to the Lists menu and select Payroll Item List.
  2. Click the Payroll Item drop-down and select New.
  3. Choose Custom Setup, then Next.
  4. Select Deduction, then Next.
  5. Follow the on-screen steps to complete it. Make sure to select the correct Tax tracking type cause it's also the basis of how it appears on tax forms such as W-2.

Once done, you'll need to add it to the employee's deductions. Here's how:

  1. Go to the Employees menu, then select Employee Center.
  2. Double-click the employee's name, then go to the Payroll Info tab.
  3. Add the newly created deduction item in the Additions, Deductions and Company Contributions section.
  4. Tap OK to save it.

Also, I added these articles if you need help on how to prepare and file your W-2 forms in QuickBooks Desktop Payroll:
