Question

Manual Back payment

Hello

I would like to make a one off "back payment" to myself via payroll.  For 4 months, I wasn't paying myself a salary, but now I am in a position to do this.   I have set myself up a monthly salary with no problem, but I can't seem to do a one off payment.

To ensure it goes through the books correctly, I want to use payroll and select a one off payment for the amount (separate from my normal monthly salary).  How do I do this as there doesn't seem to be an option.

We're delighted to have you here today, @rebelstar.

Before anything else, we'd like to share some important details to ensure you can get through this situation without encountering issues within your QuickBooks Online (QBO) company. Reading your post, you can get through this by creating an unscheduled paycheck. However, please know that QBO has different pay types and that depending on what you've selected, it will affect your records inside QBO. We'll gladly write down the steps to get you going:

  1. Access your QuickBooks Online company.
  2. Go to Payroll, then select Employees.
  3. Select the ▼ dropdown, and select one of the following options: Bonus only, Commission only or Fringe benefits only.
  4. Based on your selection you may be asked additional questions. Enter any info about taxes or paycheck calculations (if applicable). Once complete, select Continue.
  5. Select or review the pay period (if applicable) and pay date.
  6. Choose the employees you'd like to pay.
  7. Select the column, or select Actions ⋮, then Edit paycheck to enter your pay details. You can enter hours, compensation, memos, or any other paycheck info as necessary. If you use QuickBooks Time select Review Approved Time.
  8. Click Preview payroll.
  9. Select or review the QuickBooks bank account to track your payroll.
  10. Choose Preview payroll details, Save for later or Submit payroll.
  11. Once done, click Close.

See this page for more information: Create and run your payroll.

Before doing this, we'd recommend reaching out to your accountant so they can guide you on what's the best possible way to handle this situation. If you don't have an accountant, I can help you find one. Feel free to visit this page to find an accountant for your business: Find a QuickBooks ProAdvisor.

In addition, you may check these articles to add a pay history, prepare for the payroll year-end, and ensure your data stays accurate inside the program:

@rebelstar, thanks for reaching out here in the Community space. If you have any other questions about the program or a task you'd like to perform inside QuickBooks, please don't hesitate to visit us or comment below. We'll be here, ready to get back to you as soon as possible. Stay safe, and have a good one!

Unfortunately, I don't have the option from 3) onwards (Select the ▼ dropdown, and select one of the following options: Bonus only, Commission only or Fringe benefits only.)

Hi, rebelstar.

Thanks for getting back to us and providing the screenshot. I'm here to assist you in successfully running an unscheduled paycheck in QuickBooks Online (QBO).

The dropdown option mentioned in Step 3 above will only appear if you have added pay types such as BonusCommission, or Fringe benefits. From the screenshot you provided, it seems that you may not have created these pay types yet.

For them to show, you'll need to add them first. Here's how:

  1. Click your name in the Employees list to open your Profile.
  2. In the Pay types section, click Start or Edit.
  3. Depending on the pay type you prefer, select them in the Common pay types section.
  4. Hit Save to complete.

Once done, you can now continue the steps shared by my colleague KurtKyle_M above to an unscheduled paycheck for your back payment.

I'm also adding this article that tackles managing and running payroll reports in QBO for future reference: Run payroll reports. You can use it to view useful info about your business and employees.

Please let me know if you have follow-up questions about this or anything else. I'm more than willing to assist. Take care.
