Migrating Payroll from Desktop to Online during Mid-Year

We are planning to migrate from QuickBooks Desktop to QuickBooks Online effective July 1, to correspond with our fiscal year. We are *not* going to import our old data from Desktop; we will be significantly changing our chart of accounts and plan to only bring over starting balances. We have been using Payroll on the Desktop version and will continue to with Online.


Any advice for managing the Payroll migration in the middle of the calendar year, and not migrating all of our company data? We're specifically concerned about employee W-2's at the end of the year.

Congrats on making your first post here in the Community! Allow me to share some insight into moving your data from QuickBooks Desktop to QuickBooks Online. 

 

To answer your question, we recommend either entering all the payroll information you have from QBDT to QBO, or at least the year 2023 to ensure all taxes, forms, and more are correct. 

 

In the end, you could always manually do the W-2's using the desktop and online information with your accountant. Here's two articles that may come in handy with making the switch and moving data:

    Does QBO payroll have a solution for existing fringe benefits in QBDT payroll? We have begun the migration process to discover that QBO payroll doesn't support the gym membership benefit that we offer our employees. I've spent over two hours with support who couldn't come up with a solution to keep our tax records accurate. Thank you.

    Nice to see you in the QuickBooks Community! With QuickBooks Online, we only support these fringe benefits listed below.
