Multiple users accessing same payroll processing

One admin user started payroll and hit "save for later," but other (2nd) admin user is unable to access the same "save for later" file in order to complete payroll processing.  Is this how the site works or is there a way to make that possible?

If the user settings are correct, would it allow each of us to save a payroll for the other person to finish later or is this not an option?  I understand the user settings, but my specific question was not addressed.  Thank you.

That option is available in QuickBooks, aapowers.

Users with the right permissions can access and resume the payroll that you've saved as a draft. You'll just have to make sure to select the Save for later option after you finish your task. This way, the next person can pick up where you left off.

Going back to your original concern, the second admin user should be able to view and continue processing the saved payroll. To isolate this issue, you can perform some basic troubleshooting steps. It could be that the accumulated cache in the browser is the root cause of this unusual behavior.

You may start by accessing your QBO account in a private or incognito window. Here are the shortcut keys:

  • Ctrl Shift for Google Chrome
  • Ctrl Shift for Firefox & Microsoft Edge
  • Command Shift for Safari

Once you're in, head to the Payroll menu, then try running your payroll again. If you're able to connect without any issues, go back to your regular browser and then clear its cache and cookies to start over fresh. Alternatively, you can switch to other supported browsers.

I'm also adding this article to help track and manage your payroll transactions in QuickBooks: Run payroll reports.

Fill me in if you have any other concerns or additional questions. I'll e more than happy to assist you again.

Hi, aapowers.

I'm here to guide you where to access the save for later payroll so you'll be able to complete the process.

You need to go back to the Employees page, then click on the Run payroll again. From there, you'll see the payroll entries where you left off.

Here's how:

  1. Click the Payroll menu.
  2. Choose the Employees section.
  3. Hit the Run payroll button.

In addition, you can review this resource here to learn more about payroll tasks, paying your employees, and taking care of taxes: Get started with Payroll.

I'm willing to help you out again in managing your payroll or completing your other tasks in QuickBooks. Just let me know, and I'll get back to you. Stay safe!

Thank you for your response.  I am trying to access a payroll that my boss has saved and exited.  I want to be able to pick up where he left off... is that possible?

Thanks for getting back to this thread, aapowers.

The primary and company admin has access to every part of the QuickBooks account. When you set up one of the users, QuickBooks allows you to choose the user’s access rights. They can choose you to give all access, limited access, or none. When you grant the admin to access the payroll and you're giving them the same privileges. Yes, it is possible.
