Question

My employees are DD but intuit wants me to enter check number in payroll. What happened? They have been direct deposit for years.

Employees are DD each week.  Today doing the payroll, I'm asked to enter check numbers.  What happened?

Hi there, @Dshields1.

 

You'll want to ensure to select the Assign DD numbers when creating a paycheck. This way, QuickBooks will not ask for a check number.

 

However, if you're able to select the Assign DD numbers in the paycheck and the issue persists. I'd recommend running the repair tool to fix this unusual behavior. Let me guide you how to do it in your QuickBooks Desktop (QBDT):

 

  1. Back up your company file in case we ran into some errors.
  2. Restart your computer. 
  3. Open the Windows Start menu, then select Control Panel.
  4. Select Programs and Features then Uninstall a Program
  5. Click QuickBooks from the list of Programs, then Uninstall/Change.
  6. Select Continue, or Next.
  7. Click Repair, then Next.
  8. Once done, select Finish.
  9. Then Update your QuickBooks to the latest release. This makes sure you have the most recent fixes and security updates.

It sounds like as you are creating the paychecks the option for DD checks isn't selected, and instead the option for paper checks is selected.  See this option on the first slide you see when you start the create paychecks process.

 

Could that be the issue?

If 'print checks' was checked off accidentally can I just assign the DD number myself?

In QBDT, you can assign the DD numbers even if you've accidentally ticked off the option when printing paychecks. You'll want to locate and open the check and enter the direct deposit number in the appropriate field. I'll input the steps below so you can proceed. To begin, here's how:

 

  1. Access your QuickBooks Desktop company.
  2. Go to the Employees tab, and then select Employee Center.
  3. Go to the Payroll section, and then click Start Unscheduled Payroll button.
  4. Ensure the Pay Period, and Check Date field is correct.
  5. Choose a bank account.
  6. Enter the direct deposit number in the Check number field.
  7. Select an employee and then click Continue.
  8. Once everything is set, hit the Create Paychecks.
