Question

Owner of business does not see on online account where to view his W2 - where can I direct him to go to view this file? His QB does not look like my own.

Let me help your client view their W-form in their QuickBooks Online (QBO), officecrmoving-g.

The steps to view the W-2 form differ depending on whether they e-filed the form or printed and filed it manually. If they e-filed the tax form or we did, simply follow the steps below:

  1. Go to Taxes, then Payroll Tax.
  2. Select the Filings tab.
  3. View your current tax forms in the ACTION NEEDED or COMING UP section or select Resources.
  4. Tap Archived forms and filings for past forms.
  5. If available, press Preview to view forms not yet filed.

If you manually filed your tax form, here's how to archive it:

  1. Go to Taxes, then Payroll Tax.
  2. Select the Filings tab.
  3. Next to the tax form you want to save or archive, select File.
  4. Select the period, then Archive.

To view the form:

  1. Go to Taxes, then Payroll Tax.
  2. Select the Filings tab.
  3. Tap Resources, then Archived forms and filings.
  4. Click the dropdown menu to filter the form type you want to view.
  5. Choose the form name, then View.

I'm adding this link to learn more about printing W2 forms: Print your W-2 and W-3 forms. On the other hand, you can also invite your employees so they can view and print a copy of their forms.

Please let me know if you have any other questions while printing your forms in QuickBooks. I'm just a post away to help. Have a good one!
