Hello. If an employee was paid hourly but should have been paid salary, how can I fix this in quickbooks so that the employee can be paid the difference of what is owed?

I know a way to fix this, heathrnicole.

In QuickBooks Desktop Payroll, you can pay a partial or prorated salary amount for the difference of what your employees owed. Before proceeding, please ensure to set up a salary payroll item and use it when running payroll for them.

Here's how:

  1. Go to the Lists menu, then Payroll Item List.
  2. Click Payroll Item, then select New.
  3. Choose Custom Setup, then click Next.
  4. Select Wage, then click Next.
  5. In the Wages window, select Annual Salary, then click Next.
  6. Select Regular Pay, then click Next.
  7. Enter the desired name, then click Next.
  8. Select the expense account, then click Next.

Then, add the newly created salary payroll item to your employee's payroll and remove the hourly payroll item. I'll show you how.

  1. Click Employees, then select Employee Center.
  2. Locate the employee, then go to the Payroll info tab.
  3. In the PAYROLL SCHEDULE section, click the drop-down arrow, then select Add New.
  4. Set up the monthly payroll schedule, then click OK.
  5. Under EARNINGS, select the payroll item created earlier and remove the hourly payroll item, then enter the annual rate.
  6. Hit OK.

After that, manually calculate the difference and then add it as a prorated salary amount when you create the paychecks. Refer to this article to pay for the prorated amount: Pay a partial or prorated salary amount in QuickBooks Desktop Payroll.

I'm also adding this resource about editing a payroll item for future reference: Edit a payroll item.

If you have further questions or other payroll concerns, don't hesitate to add any details below. I'll be here to help you.
