I have employees that work on a construction site that builds road infrastructure and condos.  Some employees are operating machines and some employees are working within the condo units.  How do I track if a certain day employee is working in a unit say unit #1 and not on road infrastructure.  How do I divide and post to the correct chart of accounts number?  How do I divide or post to the unit account or infrastructure account within payroll?

I'll share some information about tracking and account for your payroll. You'll want to use the class tracking feature so you can divide and post the paycheck's chart of accounts. Let me g guide you through the steps.

 

First, enable class tracking from the settings.

 

  1. Go to Edit.
  2. Select Preferences.
  3. Choose Accounting, then tap the Company Preferences tab.
  4. Put a checkmark next to the Use class tracking for transactions box.
  5. Click OK.

Next, choose how you assign a class on the paycheck. Here's how:

 

  1. Follow steps 1 and 2 above.
  2. Select Payroll & Employees, then the Company Preferences tab.
  3. From the Assign one class per section, tick either Entire paycheck or Earnings item.
  4. Click OK.

Then, add the class when you create the paycheck. See the images below.

 

 

 

 

With the above steps, you're able to track properly your payroll expense and liabilities. To view them, pull up the Profit and Loss by Class report. Just go to Reports, Company & Financial, and then Profit and Loss by Class.

 

About the Chart of Account, you can edit or add the account from the payroll item.

 

  1. Go to Lists, then select Payroll Item List
  2. Double-click the item to edit, or tap next for the newly added payroll item.
  3. Choose which account number you want to assign the payroll item. See the attached screenshot below.
  4. Click Next until Finish.
