Payroll

I had a paystub duplicate even though I had entered the employees hours under enter timesheets.  It took 40 hours of vacation from him even though I didn't enter it for that pay period.  The reports are not reflecting that he used vacation.  The reports are showing the time that I entered on his time sheets.  Why would this happen?

I'll be happy to help resolve your payroll concern in QuickBooks Desktop (QBDT), @AngieM2.

When entering timesheets for employees, it's possible that you also have run payroll that results to duplicate. To fix this, we can delete the extra pay stub. If you didn't send the paycheck to the payroll service, here's what you'll need to do:

  1. On your QBDT account, go to the Banking menu at the top.
  2. Select Use Register.
  3. Choose and open the check in question.
  4. At the top of the paycheck, click Delete.
  5. In the pop-up box, enter OK.

However, if you have sent payroll, I recommend following Step 2 found in this article: Delete or void employee paychecks.

Then, to be able to correct your employee's vacation hours, follow these steps:

  1. On your QBDT account, go to the Employees menu at the top.
  2. Select Employee Center.
  3. Locate and Double-click the name of the affected employee.
  4. In the left menu, select Payroll Info.
  5. Click the Sick/Vacation button in the upper right hand.
  6. Correct the information in the Hours available as of [date] fields in both Sick and Vacation.
  7. Click OK twice when done.

If ever you want to email pay stubs to your employees, here's an article that will guide you through setting it up: Email pay stubs from QuickBooks Desktop

For future reference, you can check this resource: Customize payroll and employee reports. It contains helpful information about customizing and running payroll reports.
