Question

Payroll history is telling me that the amounts I have entered for each quarter do not match the year to date calculations, but 1+1 still equals 2. What is going on?

Let's investigate together why the amounts you entered for each quarter do not match the year-to-date calculations, bigericapwu604.

If you missed a payroll from a previous pay date and decided to create it after submitting the payroll for the current pay date, you'll notice that the YTD amounts on the previous payroll are greater than the YTD amounts on the payroll for the current pay date. This does not imply that the YTD figure is incorrect. The most recent paycheck created will show the current YTD amounts, not the most recent pay date.

QuickBooks can’t correct the YTD amounts on a paycheck. Instead, you can run a payroll details report to check the employee’s correct YTD amounts. Here's how:

  1. Go to Reports and select Standard.
  2. Scroll down to the Payroll section, then select Payroll Summary. You can also enter the report name in the search field to find it.
  3. Set a date range, then tap Apply.
  4. If you want to include or hide a specific detail in this report, select Customize then Run report.

To run a payroll summary by an employee to view the payroll wages, taxes, deductions, and contributions totaled by employees:

  1. Go to Reports.
  2. Scroll down to the Payroll section, then select Payroll Summary by Employee.
  3. Set a date range, then click Apply.
  4. If you want to include or hide a specific detail in this report, select Customize then Run report.

The problem is, the amounts I entered do match the year to date calculations, but something is causing it to say that they don't match.  For example: it says my YTD should be $200.00.  I enter $150.00 for quarter 1 and $50.00 for quarter 2 and I get an error message that says what I entered doesn't add up to the YTD calculations.
