We have a client who is converting from QB Desktop to QB Online, and they will also be having a full service payroll subscription Online. I have run across a problem, as the owner is the only one who knows the salary information, and he would like to keep that confidential - however, the bookkeeper in the firm would be having access to QB Online, and as such, would they also have access to the employee salary information? Is it possible for the bookkeeper to be set up so they cannot view the employee salary information, but still be able to run payroll? Or would the owner have to set up the bookkeeper to have no access to payroll but have his access set up to run payroll under his login? Could he have my login (as the accountant) set up to run payroll, in case he is unavailable to run it?

Hello there, @IngridA2. Let me share some details regarding this. 

 

To address your concern, it's possible that the bookkeeper can have access to the employee's salary information since they'll have access to the QuickBooks Online account. Additionally, setting up a role for them isn't possible in QBO, and if you want to make them run payroll only, you can let them use your login to do it successfully.

  1. Go to the Gear icon.
  2. Select Feedback under Profile. 
  3. Enter your suggestions, then click Next.
