I got a new client who moved from desktop to QBO. How do we access their payroll register(run through QB) when they were still in QB desktop. I cant find a payroll report on current QBO since they are no longer using QB's payroll services. We just need previous payroll registers

Hi there, @linajanehayden. I'm here to help you access your client's previous payroll registers. Let's work together to get this done right away.

To do so, you can ask your client for a copy of previous payroll registers by exporting the data from QuickBooks Desktop (QBDT). Here's how:

  1. In the QBDT account, open the company file and select the Company tab.
  2. Scroll down and select Chart of Account.
    1. From there, choose the Account used for payroll data.
  3. Then, Right-click and choose QuickReport:[Name of the Account].
  4. Once opened, select the Excel drop-down and choose Create new worksheet.
  5. Click the Export button.

They can also create a summarized payroll data report and export it using Excel, check out this link for the detailed steps: Export payroll data.

Since they are not using a Payroll service, they can manually enter payroll paychecks to QuickBooks Online (QBO) via journal entry. Please visit this article for the instructions: Manually enter payroll paychecks in QuickBooks Online.

I've also attached this helpful resource that you can open to have additional guidance in navigating the QBO program: Learn about QuickBooks Online with how-to videos.

Please post again here if you have any other concerns about accessing payroll data in QBO. I'm always here ready to lend a hand. Have a good one and take care.
