I need a report that has all paychecks for a year listed with the following information: the employee name, hours worked and gross pay for each pay period in a year.

Ex:

Employee  Pay Date Gross Wages Hours

Jane Doe   1/1/2020   450.00          22.5

Jane Doe    1/8/2020   460.00          23

James Doe  1/1/2020   500.00        25

James Doe    1/8/2020  500.00       25

Any way to do this without copying and pasting several reports together?

Hi there, @ESALDLFARM. I'm here to share some details about running the payroll report that you need in QuickBooks Desktop (QBDT).

The specific report to see the list of employees' paychecks including the columns for Pay DateGross Wages, and Hours is unavailable in QuickBooks Desktop (QBDT). As a workaround, you can run the Payroll Summary (for gross wages and hours) and Payroll Transaction Detail (for paycheck date) reports. Then, export them to Excel to modify the data.

Let me guide you on how:

  1. In your QBDT account, select the Reports menu.
  2. Scroll down to the Employees and Payroll section and choose Payroll Summary. This will display the hours and gross wages data per employee.
  3. Once opened, click the Customize Report button and go to the Report Date Range field to select the correct period.
  4. When done, select OK. You'll be routed back to the report page.
  5. Next, click the Excel dropdown, choose Create new worksheet and select the Export button.
  6. After that, go back to the Reports menu to open the Payroll Transaction Detail. It is located under the Employees and Payroll section.
  7. Next, select the Customize Report option and go to the Columns section. Search and check the columns for Paycheck Date, Source Name, Amount, and any other that you want to add.
  8. When done, navigate to the Filters tab. From there search and select Transaction Type and choose Paycheck.
  9. Once finished, select the OK button. You'll be routed back to the report page.
  10. Check the details and export the report to Excel again for modification.

For reference, feel free to visit this article: Customize reports in QuickBooks Desktop.

QBDT also has several Excel payroll reports that you can generate. For detailed instructions on how to get them, check out this link: Excel-based payroll reports.

Please let me know how the recommendation works. Don't hesitate to get back here if you have any other concerns about running a payroll report in QBDT. I'm always around the corner to help. Have a good day ahead.
