I migrated to QB online payroll from Desktop in January, and spent several hours with payroll support because QB would not allow me to pay the NY State withholding taxes.  I had to go to the NY State site to pay and record the payment as being done outside of QB.  Then, in February, QB allowed me to pay the monthly withholdings electronically.  Now for March, it is telling me again that it is too early to pay, the payment is not due until April 30th (which is incorrect) and it will not allow me to pay until April 16th.  I just spent another hour with QB online payroll support and they don't know what they are doing, and had no help to offer except to force it through on their end.  QB payroll did allow me to pay the Federal taxes electronically on the last day of these last 3 months, but it will not allow me to pay the State.  Once again I had to go to the State site and mark it as paid outside of QB.  I think QB wants their customers to use Paychex or ADP with a product this bad.

I understand about the time frames; I have done payroll in New York since 1995. This company is required to pay monthly.  QB is not allowing me to schedule the March withholding payment until April 16th at the earliest.  How can I make QB allow the payment April 1st?

Currently, QuickBooks Online (QBO) doesn't allow us to file an advance withholding payment until a specific period. You'll want to send a request to let our product team know how this is useful for the business. This way, they can formulate better decisions to improve the product experience. To do so, follow the steps outlined below:

 

  1. Go to the Gear icon, then Feedback.
  2. Enter your comments or product suggestions. Then select Next to submit feedback.

 

You can track feature requests through the QuickBooks Online Feature Requests website.

I understand how challenging this has been and I appreciate you submitting a feature request, Beacon. Let me chime in and provide additional information about changing your filing schedule. 

 

QuickBooks is dependent on the payroll schedule set up within the system. On that note, we can modify your tax filing arrangement specific to our State agency's requirements. 

 

Here's how: 

 

  1. Go to the Gear icon on the top menu.
  2. Choose Payroll Settings.
  3. Click Edit ✎ next to your state tax.
  4. From How often do you pay your taxes?, tap Edit.
  5. Select which form you file, how often you pay your taxes, and its effective date.
  6. Press Save, then Done.

I had tried this back in January, but am doing again.  The choices are: EFT Schedule, 3 days after payroll, or 5 days after payroll.  EFT was what I had selected before because the taxes are due monthly, same as Federal.  I have changed it to 5 days after payroll and will see if this allows payment in a timely manner.  I had an issue last year with a very small payroll client, and finally after much back & forth got someone from QB help who told me that NY does not require you to pay state withholding until after you have acrued $700, and QB would not allow me to pay until either that threshold was met, or the quarterly return was due. However, this client is required to pay monthly, they will meet the $700 threshold in odd intervals because of the variance in people's paychecks. The monthly requirement overrides the $700 threshold. I would think other people have had this issue, and I still need a person who actually does payroll for a lot of companies, an accountant perhaps, to answer this thread.
