Question

Payroll Tax Liability period and due dates are wrong

I recently ran a scheduled payroll from 8/1 to 8/31 so I expected the payroll tax liabilities for federal withholding to be due on 9/15 for the period of Aug 2021, but instead it had a due date of 10/13 and a period of Sept 2021. It's one month in advanced for some reason.

I've already checked and the schedule for Federal 941/944/943 is set to monthly. I've also tried to use a different payment frequency of 1-6 days after payroll is ran but that sets the pay period from 9/1 - 9/6 (the due date however matches the custom setting).

My understanding is that the pay period should match the previously ran payroll's pay period and that if it is on a monthly basis, the liability should be paid on or before the 15th of the month following the pay period, however no matter what I try, the automated tax liability won't set the period to Aug 2021. I've tested it again by running an unscheduled payroll for 9/01 - 9/30 and the period for the liability is once again off by a month (10/01 - 10/31).

Any help is greatly appreciated.

It's a pleasure to see you here in the Community, @snowprism .

You'll have to delete your payroll (paychecks) from QuickBooks Desktop and recreate it. This way, you can keep your taxes accurate and your payroll data updated.

Here's how:

  1. Select the Banking menu, then select Use Register.
  2. Choose and open the check in question.
  3. At the top of the paycheck, choose Delete.
  4. In the pop-up box, enter OK.

You can check out this article to learn more about the process: Delete or void employee paychecks. Once done, you can recreate the paychecks

After that, I'd suggest pulling up the Payroll Detail report. This way, you'll be able to verify that those paychecks are entered accordingly. Just go to the Reports menu and select the Employees & Payroll option.

To set your tax deposit due dates, here's how:

  1. Choose the Payroll Center.
  2. In the Pay Liabilities tab, under Other Activities at the bottom, choose Change payment method.
  3. Edit the necessary due dates.

To learn more about the process you can check out this article: How to set your tax deposit due dates

Please comment below if you have other payroll concerns or inquiries about managing paychecks and employees in QBDT. I'm just around to help. Take care always!

Hey AbegailS_,

I know I'm a little late to reply and not even sure if you will be able to check this. But I've tried deleting all the paychecks and recreating them again but the same issue arises in that the 941/943 tax for the following pay period is posted in the tax liability portion of the payroll center.

I've also tried to change the liability due dates to monthly, after every payroll/biweekly, monthly after every payroll, and it either doesn't change the pay period, or makes the pay period a single day when we usually run payroll.

I've also called customer support twice, the second time was yesterday (10/27/2021) and the gentleman told me that he would have the software engineers check my issue and give me a call back today (10/28/2021) which I have not received. I really need this issue to be resolved otherwise this payroll service is completely useless.

i have similar issue and cant figure out how to fix.  what i have is we are now 2023 .. in pay tax and other liabilities. it has my date wrong (short by 2 days) for the amount i epay for 941 taxes. I cant figure out how to correct the dates. and i have to correct it quickly because they change how often i have to pay. they want it bi-weekly (im only finding semi-weekly in qb) so i have 3 days to fix this and pay. i pay employees weekly so im not sure why the gov. wants bi-weekly (every other week) but qb only is giving me after each payday (semi-weekly) this makes no sense. someone please explain.
