Payroll Tax Overdue

Hi, 

I was late paying my VA Unemployment tax.  QB says I cannot efile/pay when it is late, so I paid through the state website.  How do I show the payment in QB Desktop when it won't allow me to pay it under "Pay Liabilities" because it requires I file the form at the same time. I don't know how to wipe it out. Thanks

    In QuickBooks Desktop, you can manually enter your payment even if you pay your taxes through the state website. I'm here to guide you through the process, KarenS1970.

     

    You can record the payment using the Enter Prior Paymentsoption in the YTD Adjustment window. To do so, follow the steps below:

     

    1. Go to the Help menu, then About QuickBooks.
    2. Press Ctrl+Alt+Y on your keyboard.
    3. Select Next until you reach the Enter prior payments section.
    4. In the Enter Prior Payments window, select Create Payment to enter all prior payroll tax and non-tax payroll liability payments you have made during the current or previous years.
    5. Under Item Name, select the ▼ dropdown and select the item you need to create a prior payment for.
    6. Verify the dates and update as necessary.
      • Select Next Payment to enter another prior payment.
    7. Select Done, then Finish.

    Once completed, verify any outstanding balances by reviewing the Payroll Liability Balance Report to see. Here's how: 

     

    1. Go to Reports, select Employees & Payroll, then Payroll Liability Balances.
    2. Change the From and To dates as needed.
    3. If the PLB report shows $0, but the Pay Liabilities tab still shows overdue or red, Re-sort lists in QuickBooks Desktop.
    4. Close and re-open QuickBooks.
    5. If the issue persists, Verify and Rebuild Data in QuickBooks Desktop.
