Payroll won't update

I am so mad!  I need to do payroll and the tables will not update.  Quickbook charges an arm and a leg and there is no customer support 24/7.   Federal Withholding and FICA are not pulling up.  I'm getting an error message that states that Payroll has not been updated for 39 days, so some payroll features have been temporarily disabled.  When I try to get updates, it says I've received the latest payroll update and validated my subscription.  I have to go on before 6/8/2024.  Well it's 6/17/2024.  I'm going out of town and need to finish this tonight

Login to CAMPS and check your license status. Is your Enhanced Payroll subscription active (green color) or canceled (red color)?

The error message you've encountered indicates that Intuit hasn't received your payroll data from the previous pay cycle. With this, you'll have to send your usage data to fix this.   1. Go to Employees, select My Payroll Service, then select Send Usage Data. If you don’t see this option, follow the next step.
  2. Go to Employees, then select Send Payroll Data.
  3. In the Send/Receive Payroll Data window, select Send All. Enter your payroll service pin if prompted.
  4. If the send is successful, get payroll updates again.

 

If the error persists, continue troubleshooting starting Step 3 in this article: Resolve payroll error PS038.

I have had this SAME issue for 3 months.  I've had this much of a problem until the last quickbooks update I was made to do.  Now each month I have issues and calling in is a nightmare and I'm promised whatever it is they did fixed the issues and I won't have it again.  BUT, each month I have it again.  How can we fix this issue for GOOD?

I am having that same issue!!! It is so irritating! Every time there is a payroll update it will not update! So I have to have help EVERY TIME it's time for an update! This started happening this year when I was made to update my QB. This issue needs to be resolved!!!!

I have called QB support twice now and spent two hours trying to resolve a Error #12057.  Support doesn't even have any information about this error.  We have gone under "File, Utilities, Repair File & Network Problems", we have tried multiple times via QB and separately through all browsers to connect with "Glance" to allow the support to "Share screen with Agent"....nothing has changed.  We also tried "Help, Update QB Desktop" to no avail.  Tomorrow, I am calling in a case number in hopes we can do a hard reboot.

I know this thread is almost a year old but just wanted to comment here in case this might help someone else.  I am an accountant and had a client having this same issue where the Payroll Updates appear to install normally but then they would get a popup message that says "payroll subscription hasn't been updated for 79 days."  In trying everything I know to troubleshoot this issue, I was out of ideas and came across this thread.  I followed the 1st response from moderator Rea_M below about needing to "Send Payroll Data" and did that for this client.  Which btw -- made no sense because this employer does not do direct deposit in any way, they print paper checks for everyone (they are a small agricultural operation).  I didn't know the Send Data PIN  but i was able to easily reset it, then proceeded to Send Data to Inutit and soon as that transmit finished it popped up with a window about installing payroll updates.  Soon as that finished, the issue had been resolved and taxes were now calculating on paychecks like normal.

 

I have ZERO idea why this solution worked since this employer does not do direct deposit, but for whatever reason it did.  Hope this can help someone else!

Thank you, @HCoKP  This is exactly the issue we had and how we resolved it. Why in the world an organization with desktop payroll would have to "send payroll data" in order to restore access to payroll files is beyond my comprehension, but at least it worked and we are back in business and not just stuck in a "get update" loop and unable to write checks.

I was having a similar issue with Payroll Updates not actually updating. It would seem like it was working, but not actually update or advance the date of the next update. I spent months with different support people who struggled to fix the issue and couldn't prevent it from reoccurring. 

 

I finally realized how to fix it myself by copying my service key, deleting it, and adding it back. After adding back the same service key the update worked. I've had to do this monthly, with every update, but it gets it working at least. 

 

Employees -> My Payroll Service -> Manage Service Key

Copy it first (and record it somewhere if you haven't already), delete it, and then add it back. 

 

Hope this helps. I couldn't find a fix anywhere.

I have to do this every update as well. But this seems to work for me without having to contact QuickBooks support. Hope it helps.

Resolve payroll error PS038

Learn how to resolve error PS038 when running payroll.

You will see error code: PS038 when running payroll, downloading tax table updates, and if paychecks get stuck as “Online to Send”.

Step 1: Update and back up your QuickBooks data

Before performing the steps below, make sure to update QuickBooks Desktop to the latest release and create a backup copy of your QuickBooks Desktop company file.

Step 2: Send your payroll data or usage data

  1. Go to Employees, select My Payroll Service, then select Send Usage Data. If you don’t see this option, follow the next step.
  2. Go to Employees, then select Send Payroll Data.
  3. In the Send/Receive Payroll Data window, select Send All. Enter your payroll service pin if prompted.

If the send is successful, try to get payroll updates again. If you still see the error, proceed to the next steps.

 If the send is unsuccessful, contact us for help. 

Step 3: Identify stuck paychecks

  1. Go to Edit,  then select Find.
  2. Select the Advanced tab.
  3. Go to the Advanced tab. 
  4. In the Choose Filter section, select Detail Level from the Filter list. 
  5. Select Summary Only.
  6. Go back to the Filter list. Scroll down to select Online Status, then select Online to Send.
  7. Then select Find, and you'll see paychecks that weren’t sent to Intuit.
    Take note of the "Number of matches" on the Find window. Proceed to Step 4.

Step 4: Verify and Rebuild your data

  1. Close the Find window, then run a verify data. This will show the stuck paychecks waiting to be sent.
  2. Next, rebuild your data file.
  3. Try to download your payroll updates again, if you still see the error, proceed to Step 5.

Step 5: Toggle the stuck paychecks

These are the same paychecks found in Step 3. 

  1. Open the oldest stuck paycheck.
  2. Select the Paycheck Detail button.
  3. In the Review Paycheck window, under Earnings, add the same earnings item as the last earnings item in the list. 
    Example: If the last item in the list is Hourly Rate, add another earnings item named Hourly Rate to the list.
  4. A Net Pay Locked message will appear. Select No.
  5. Make sure that there are no changes to the tax amounts and net pay. Select OK.
  6. If you receive a Past Transaction message, select Yes.
  7. Select Save & Close to close the paycheck.
  8. Select Yes to the Recording Transaction warning message.
  9. Open the paycheck again. Select the Paycheck Details button.
  10. Delete the earnings items that you have just added in the Earnings section.
  11. Make sure that there are no changes to the tax amounts and net pay. Select OK.
  12. Repeat these steps for each of the stuck paychecks found in Step 2. 
  13. When finished, repeat Step 1 and download the tax table update again.
