Question

Print the report PAYROLL DETAIL so that it only shows the grand totals

I want to print the report "payroll details" without any employee detail.
I want just the grand totals at the top of this report.   How can I print this report with only the grand totals.

I can find no other report with grand totals that show:

1) pretax deduction detail

2)  after tax deduction details

3) employer tax detail

The Old Intuit report "total payroll cost" did have the details of aftertax and pretax deductions.  But the Quickbook report also called "total payroll cost"  does not show deduction detail.

Thank you

Hi there, @LDO. I'm here to help you print the Payroll details report without the employee details in QuickBooks Online (QBO).

I appreciate you sharing information about the report you want to print. Currently, you can only customize certain data (name of the employees, work location, workers comp classes) and columns (gross pay, deduction, contribution, hours, pay period, and method) in the Payroll details report. Also, this will display the employee and other details if the Total and details option is selected.

That said, you have to customize the report and export it to excel to remove the column you don't need and manually include the information you need. Here's how:

  1. In your QBO account, select the Reports menu and type Payroll details.
  2. From there, select the correct date range and click the Customize button.
  3. Choose Totals only (this will still shows your employee name).
  4. Once done, select Run report and click the Export dropdown.
  5. From there, pick Export to Excel.

Once finished, run the Total Payroll Cost report. Customize it and export it to Excel. Let me guide you on how.

  1. Go back to the Reports menu and look for Total Payroll Cost.
  2. Customize the report if needed and ensure to select the date range which matches the exported Payroll details report.
  3. When ready, select the Export icon and choose Export to Excel.

When the reports are exported, edit the information and add the after-tax and pretax deductions from the Total Payroll Cost report to Payroll details. For reference, check out this article: Run payroll reports.

After the modification, you're now ready to print it.

You can also invite your employees to Workforce so they can see their pay stubs and W-2s, and add some of their personal information.

Keep me posted if you have any other concerns about running and printing payroll reports in QuickBooks. Have a good one and stay safe.
