I and others have been asking about this for years, but ever since I and a couple other employees became QB admin, we no longer have access to Workforce. This means that we cannot access paystubs or W-2s, which we need to file our taxes. Every other employee has access to their paystubs and W-2s through Workforce. Why does QB prevent those with admin rights from having access? Yes, they are mailed out, but I don't think we've gotten them by the January 31 deadline either. Plus employees who want to check their paystubs should be able to access them. This is extremely detrimental for the employees and is a ridiculous rule that never should have been implemented and needs to be fixed.

I can see how relevant the ability is to access paystubs and W-2 forms, especially when paying taxes. With this, you can change your email address, different from your QuickBooks Online access, to utilize QuickBooks Workforce. After that, reinvite yourself using your personal email.

 

Here's how you can send an invite to an existing employee:

 

  1. Sign in to your QuickBooks Online Payroll account.
  2. Select Payroll on the left pane.
  3. Choose Employees, then Invite to Workforce.
  4. Tick the boxes next to the name of the employee.
  5. Enter the email address.
  6. Click on Send invitations.

As I have already pointed out on this thread many times over the last couple years, this solution doesn't work.

Employees with admin access already have a Workforce invitation. The problem is that, because they are admin, they can't access Workforce. We get the following error message: "Looks like you don't have a Workforce employee account The email you entered belongs to an admin account. Only employees can access their Workforce accounts." And actually it shouldn't be "email" but "username" since using an email login didn't work. Please fix this. Having access to tax records and paystubs is vital.
