QB has stopped automatically entering payroll taxes paid onto my check register.

We have QB pay our payroll taxes automatically and a few weeks ago it stopped entering the payments made automatically onto my checking account register even though payments have been made.

I noticed the same issue with mine, I have to go to the payroll taxes tab and keep an eye on the upcoming, sometimes they take out a day or two earlier.

 

I did receive an email that starting January 2025 they will be taking the payroll taxes out all at once so maybe they have started making changes in the system.

 

I am actually glad that they are taking out taxes right away, my clients were having a hard time understanding the tax payments.  Clients would see large amount in their payroll account and transfer it, then their wouldn't be enough to cover pending tax payments.

One possible reason you might not see the entries in your account register is due to synchronization errors with payroll taxes within the system. I do not recommend contacting the payroll support team, they don't seem to know anything but get access to your personal information.  They have wasted hours with no support.  I know more than a QuickBooks support person does.

This happened to our QBO Online account when the switch was made in January 2025 from monthly tax withdrawals to take taxes out each pay period.  Now we get an automatic entry into our bank register that reflects the amount of the taxes withdrawn but the register entry does not record the expenses to the applicable tax expense accounts and you cannot modify or delete the automatic entry made by QBO.  You can clearly see the difference between the tax withdrawal made on 1/15/25 for the December 2024 payroll taxes (which was done correctly) and the 1/17/25 withdrawal and subsequent withdrawals which don't reflect the expense accounts.  I have now spent over 6 hours on the phone with QB support agents and no solution has been found.  This is a serious issue because it results in expenses being under reported since the taxes paid by QBO are not reflected in the applicable tax expense accounts.  I do have someone who is looking into the issue and will call me back if he finds a solution but it is taking way too long to get this resolved.  In the meantime our income and expense statements are erroneous.  Today's 2 hour call got technical people involved but not sure what they did.

Not sure if this is helpful at all but any automatic payroll data entered into QuickBooks I'm pretty sure is "locked in" and unfortunately QB support knew nothing on what to do or how to help so I ended up doing a journal entry to move the wrong transactions out of the account so I could reconcile it and it wouldn't be permanently unbalanced. 

 

Also, QuickBooks Online has a really bad issue that if you change the bank account payroll comes out of, there is a second process many don't know that you have to manually go in and also change the chart of accounts so it doesn't record into the wrong account, because if it does, only a journal entry will move it.  So anyone who can't find transactions to match, you may want to check other accounts to see if put in the wrong one.
