Hello there. I'll help fix the issue you're having with entering your new employee's Social Security Number (SSN) in QuickBooks Online (QBO).

Let's first verify if your employee provided the correct SSN format (XXX-XX-XXXX). They may have used the Individual Taxpayer Identification Numbers (ITINs). That's why you received an error. Please note that an ITIN starts with a "9" and is formatted like SSN (NNN-NN-NNN). To learn more details about this, you can refer to this article: Understand the difference between a Social Security number and Individual Taxpayer Identification number.

Once verified that your employee has the correct SSN format and the error still occurs, we can perform these troubleshooting steps to fix this:

  1. Use a private/incognito window when entering the SSN.
  2. Clear the browser's cache and cookies.
  3. Use other supported browsers.

However, in case the issue persists after performing the steps above, I'd recommend contacting our Payroll Support Team. They can securely check your account and perform a screen-sharing session to investigate this matter further.

Additionally, you can run payroll reports to get a closer look at your employees' total wages, deductions, and tax information for a specific period using QBO Payroll. To do this process, you can check out this article: Run payroll reports.
