Hello there, @2_3. Let me provide ways to ensure QuickBooks Online (QBO) accepts your employee's Social Security Number (SSN).

First, please verify that you're not using an ITIN in place of an SSN. ITIN starts with a "9" and is formatted like an SSN (NNN-NN-NNN). Here's a reference to know their differences: Understand the difference between a Social Security number and Individual Taxpayer Identification number.

It's also possible that there's a duplicate SSN in your employee list. That said, I recommend reviewing your active and inactive employees. Here's how:

  1. Go to Payroll and select Employees.
  2. Click the Active Employees dropdown, then All Employees.
  3. Check each employee's profile to ensure there are no duplicates.

If the issue persists, let's perform some troubleshooting steps to rule out the possibility of a browser problem. To do that, open your account in an incognito window. Here are some keyboard shortcuts:

  • For Google Chrome browser: Ctrl + Shift + N
  • For Mozilla Firefox browser: Ctrl + Shift + P
  • For Safari browser: Command + Shift + N

Once resolved, you can return to your original browser to clear its cache or utilize another compatible one. It can be a temporary issue with QBO or the window you're using.

Moreover, I'll share this article to guide you on submitting your W-2 and W-3 forms to the Federal and state agencies through QBO: File your W-2 and W-3 forms.
