quickbook w-2 form allignment

I have my pre-printed W-2 forms from quickbooks and there are two employees per sheet that can be printed. I get the top one aligned and the bottom one is off by a line, I get that one aligned and the top one is off by a line. How can I fix this HELP!!!

W2 forms will not line up. I have tried adjusting the printer but no luck. Same printer I’ve always used. Bought W2 from same place. Help?

I want to make sure you can print W2 forms without alignment issues.

 

W-2 forms need to be compatible with QuickBooks to ensure the correct alignment. To clarify, did you buy your W-2 forms from Intuit? If so, look for the vendor code (0000/1030D) from your W-2 purchase. Once verified, follow the steps below to align your W-2 form:

 

  1. Go to the Employees menu, then select Payroll Tax Forms and W-2s.
  2. Choose Process Payroll Forms.
  3. Select the W-2 Form from the list of forms.
  4. In the Process W-2s for options, select All Employees or select Employee's Last Name (choose From and To) to file by batch.
  5. In the Select Filling Period section, enter the year of the form you are printing and click OK.
  6. In the Select Employees for Form W-2/W-3 window, select the employees you are printing for. 
  7. Click Print/E-file. This will open the Print W-2 and W-3 Forms window

 

If you get the same result, I suggest updating your QuickBooks Desktop to the latest release and the payroll tax table. Then, perform these PDF troubleshooting steps to resolve your printing issue.

I've been having the same problem since last year, using same forms, same printer, same software. 

 

Looks like I finally found a solution, hope this works for everyone. on the print screen, mine was automatically selecting "Shrink oversized pages", when I change it to "Actual size" it prints perfectly aligned, no need to adjust anything!

I am having this issue! Forms printed fine last year, but this year the bottom employee is too high. Adobe is already my default reader. Anyone have any other suggestions?

If you use the document feeder then the alignment for the Red W-2s and W-3 is askew BUT if you place the red forms in the paper tray then the alignment is perfect for the W-2s and W-3.  I too am using Adobe Acrobat.  Hopefully this works for you as it did for me.

I am having the same issue and the alignment doesn't work worth a darn.  It prints with font too small.

Quickbooks was of no help and for years I have used the same forms. Now this year they do not align just like you said. Did you get this resolved?

Please see my comment above. I had the same issue, but was able to solve it by printing the pdfs from the Chrome browser. It's not exactly fun, but you can use a combination of custom scale in the print dialog, and the vertical and horizontal alignment adjustments within quickbooks. It took me about 8-10 tests to decide on a final adjustment, but all entries were within the W-2 boxes. Maybe this would work for you, too.

Hello!  I was having this exact same problem and I got it fixed.  Make sure you are using the most current version of Quickbooks and also make sure you are using ADOBE to print.  I wasn't using ADOBE before, but after our big QB update, it didn't want to align at all! Switching to ADOBE fixed the problem.  Hope this helps!
