First year printing W2's in Quickbooks Desktop Enhanced Payroll.

 

Which Form do I order and can I use the blank forms?

Since this is your first time printing W-2 forms, we highly recommend ordering them through us to guarantee accurate printing and prevent any potential issues for your employees when they file their taxes. You can print the employee copies on Blank 3-part perforated paper or Pre-printed 4-part perforated paper. 

 

When deciding which form to use for your W-2s, the choice ultimately depends on your specific needs and preferences. You can print the entire W-2 blank form. However, it's important to note that using pre-printed forms is generally recommended to ensure accurate and compliant reporting. This can also save you time as you won't need to print as much information but only input the specific employee details using your software.


Here's how to order your W-2 kit (includes envelopes):

 

  1. Go to QuickBooks Checks & Supplies.
  2. Select Tax Products.
  3. Choose either Pre-Printed W-2 kits or Blank W-2 kits.
  4. Follow the on-screen steps to complete your order.

The question was how to print on plain paper. It is great you have the preprinted forms that can be bought, however, it is January 29 and there is no time to purchase and have delivered. So...how do you print W2s on plain paper in QBD Enhanced Payroll?

I'm happy to provide the steps for printing W2s on plain paper in QuickBooks Desktop Enhanced Payroll:

 

  1. Update QuickBooks and the payroll tax table.
  2. From the Employees dropdown menu, select Payroll Tax Forms & W-2s, then Process Payroll Forms.
  3. From the File Forms tab, scroll down and click Annual Form W-2/W-3 - Wage and Tax Statement/ Transmittal.
  4. Select Create Form.
  5. Click all or individual employees to file.
  6. Enter the year, then select OK.
  7. Choose all or individual employees to print.
  8. Select Review/Edit to review each W-2. Reviewed W-2s have a checkmark in the Reviewed column.
  9. Once you’re done, click Submit Form and follow the steps to print and file the forms.

If you invite your employees to use QuickBooks Workforce, they can view and print their own W-2 copies for the current year and the previous two years if you were using our payroll services during that time.

You don't need forms. You can print the W-2 in their entirety on blank white paper.

 

It does not need to be perforated, but if it's not then you must separate the employee copies, perhaps using a paper-cutter.
