Quickbooks is arbitrarily creating new bank accounts on payroll checks

For the past two months, QB is creating a new bank account to post payroll checks and liabilities, using the same name as the actual real accounts, but without our internal account number. Anyone has had this problem with 'phantom accounts'?

QuickBooks uses the bank account that you've set up in your accounting preferences for your payroll checks. Aside from that, QuickBooks doesn't create accounts for payroll. ]

 

It's possible someone updated your bank account. That's the reason you're seeing changes on your end. You'll want to check out the audit log to double-check who made the changes to your books. 

 

  1. Go to the Gear ⚙ and select Audit Log.
  2. Click Filter.
  3. Use the fields on the Filter panel to choose the appropriate UserDate, or Events filter to narrow the results.
  4. Then Apply.

 

Beyond that, you'll have the option to change the default bank in your preferences if you want to switch to other accounts. Follow the steps outlined below:

 

  1. Go to the Gear ⚙ icon, then Payroll settings.
  2. In the Accounting section at the bottom of the page, select Edit ✎.
  3. In the Paycheck and payroll tax payments click Edit ✎. From the Bank account ▼ dropdown, select the account you set up in "Step 2: Set up your bank account in your chart of accounts."
  4. Hit Continue, then Done and Done.
