Quickbooks online assisted payroll issues with Pay-As-You-Go Workers' compensation using AP Intego/ Next

Ever since we switched from Quickbooks desktop to Quickbooks online in 2022 (used assisted payroll for both) we have had a constant connection issue with QB online payroll and AP Intego/Next. We run at least one payroll every Friday. We have three employees and our payrolls are very consistent. I would check how much AP Intego/Next was collecting and it would be nothing for weeks and then sometimes its would be quadruple what it should be. 

 

AP Intego/Next has no one to talk on the phone with directly (until I demanded someone to call me because I was tired of automated emails and no solution). They said at one point they fixed the "bug" but a few weeks pass and the same thing starts up again. This has been ongoing for over a year and a half now. The representative that emails me said he will watch the connection to make sure it is working but he never does. I always reach out to them. 

 

I have made conference calls with AP Intego/Next and QB payroll support. The issue does not seem to be inherently on the QB side but no one can seem to permanently fix what the connection is. Everything looks active and connected on my side. 

 

The amount of work I have dedicated to trying to fix this automated system has been a 2nd full time job. AP Intego/Next has collected hundreds of dollars over what they should have by randomly adding exempt employees, changing our payroll codes (ironically on our heaviest payroll weeks), and the lack of urgency/response is beyond painful and truly insulting. 

 

I am months late for a WC audit because I am still deciphering if we have been incorrectly charged (the website invoices do not match the payroll sent over, which do not match the excel spreadsheets they provide and nothing matches my bank statements). I have communicated to them I am working through this but they keep sending me a noncompliant bill for thousands of dollars. I am feeling so overwhelmed but need to figure something out/switch companies.

 

I am overall happy with QB online payroll (we use QB online for all of our invoicing/expenses/accounting) but do not know what to do. AP Intego/Next is terrible - in every capacity thus far. I do not want to switch payroll providers but do want to utilize Pay-As-You-Go. We have used other types of WC and this way of billing has been more ideal (until last year).

 

Does anyone have any experience with glitches or bugs with QB online payroll/AP Intego/Next? If so, did they fix them? Is there another option for WC Pay-As-You-Go using QB online payroll? I believe there is not. 

 

AP Intego/Next told me I should just go to direct billing where I call/upload payroll periodically and call/mail in payment directly to the carrier way. They should have offered carrier pigeon. Sorry - clearly this has been a terrible experience and am so over it. 

 

Any help, guidance, suggestions are so appreciated.

It sounds like this situation has been incredibly frustrating and time-consuming for you. It's unfortunate that despite your proactive approach, the issue remains unresolved and has even caused delays in essential tasks like the WC audit.

That said, you want to consider using third-party applications that integrate well and provide seamless integration between AP Intego/Next and QuickBooks. However, we're unable to provide recommendations on which one to use.

 

I suggest you visit the QuickBooks Apps site and look for an app that meets your business needs. You can also do this inside your company by going to the Apps menu on the left panel.
