It's nice to welcome you to the QuickBooks Community, @Delinda421. I can share ways on how you can reduce the file size of your company in QuickBooks Desktop (QBDT).
Before doing so, please know there are no size limits for your company's data file. However, it affects the performance of the program.
Aside from running the Condense Data utility to reduce the file size, you may start a new company file in QBDT. If you have Assisted Payroll, I recommend reaching out to our payroll support before doing so.
Here's how to create a new file from scratch:
- Go to the File menu and select New Company. Then, follow the wizard that appears.
- Open the original file and export your lists.
- Open the exported Intuit Interchange Files (IIF) and delete the unnecessary list entries.
- Import your clean files into the new one. Please refer to this article for your guide: IIF Overview: import kit, sample files, and headers.
- Set up the opening balances.
I also suggest visiting our App Center to browse for compatible third-party apps that will help reduce your company file size in QBDT.
Moreover, create a compact version of your company that's small enough to send via email or put on a flash drive so you can share your accounting data or transfer it to another computer.
