Question

Reissue paycheck that I thought had been voided

I need to recreate a paycheck that was supposed to have been voided but was not and it went thru the bank.

When recreating the paycheck, the Social Security is a penny less so the net pay is off a penny and my bank statement will not reconcile.  Can I override the Social Security for the employee & employer portion without ill effects later on?

This is from another quarter so I know that I will have to file a 941 correction.

Yes, you can override the Social Security amount in QuickBooks, @Stacy5. I'm happy to outline the complete steps to achieve your task.

I'll make sure that the Social Security incorrect amount will fix as soon as possible. This way, your year-to-date (YTD) deductions are always accurate.

Re-create the paycheck and save it even though the net pay is off. We'll manually modify the payroll liability to correct the Social Security amount right after.

Proceed with the following steps:

  1. Go to the Employees, then select Payroll Taxes & Liabilities, and pick select Adjust Payroll Liabilities.
  2. In the Date and Effective Date fields, select the last paycheck date of the affected month or quarter.
  3. Choose Employee in the Adjustment is for section and choose the appropriate name.
  4. Select Social Security Employee in the Item name drop-down.
  5. Enter the correct Amount (positive amount to increase), Wage BaseIncome Subject to tax, and Memo
  6. Select Accounts Affected, then click OK.
  7. Hit OK again to save your work.
  8. Repeat the steps for the company side.

After that, I'd recommend running the Payroll summary and  Payroll Liability Balances report one at a time. From there, check if the liabilities are updated.

Do the following:

  1. Go to the Report menu on the upper right side.
  2. Choose the Employees & Payroll tab.
  3. Select the mentioned report one at a time and customize the data.
  4. Review the social security amounts.

Once done, don't forget to edit the liability check to reflect the change. For complete steps, follow Step 4 in this article: Adjust payroll liabilities in QuickBooks Desktop Payroll.

Moreover, you can go ahead and file the 941x for the correction. For more details about this, click this link: File a corrected Federal Form 941 and 940 in QuickBooks Desktop Payroll.
