Requirement to enter employee phone and email

I just set up a new payroll client in 2022 desktop and when I add employees, it won't let me out of the screen until I either put in their phone # and email or check the box to "enter later".  This doesn't happen on other exsiting clients.  Why? Can I disable this annoying "feature"?

I can help you with adding an employee, @Marilyn2400.

 

You can add your employee from the Employees menu. There are required fields that you need to provide information to save the employee. 

 

Check out this article for more information about adding your new employee to QuickBooks Payroll. It'll also include the information you need to prepare and the required fields to enter their information. 

 

Also, see this article on how you can turn on QuickBooks Workforce, then add your employees' email addresses to their profiles: Invite your employees to QuickBooks Workforce to see pay stubs and W-2s if you use QuickBooks Desktop Payroll.

 

Once done, here's how you can assign a payment schedule to your employee and create your direct deposit or paper paychecks: Create and run your payroll

You did not read my information.  I know how to add employees - been doing it for 9 years.  But there is a NEW REQUIREMENT not required on other clients.  The process comes to a dead stop if an email or phone number hasn't been added.  Then you have to check the boxes "add later".  This is very cumbersome and is a NEW FEATURE.  How can I disable this?

I understand this new requirement to add contact information when adding employees is cumbersome. I encourage you to add your vote for this one by sending a feature request in the Feedback section within QuickBooks. Our product development team reviews all the feedback we receive to ensure we’re meeting the needs of our customers.

 

Here's how:

 

  1. Go to the Help menu.
  2. Choose Send Feedback Online and select Product Suggestion.
  3. Click the Product Area drop-down menu and select a category.
  4. Enter your comments or product suggestions.
  5. Select Send Feedback.

 

Additionally, if you need to change an existing employee’s info, you can enter those changes on their profile in your QuickBooks Payroll account.

That's ridiculous! Neither of these fields are required by any agency to pay an employee. And, as it happens, some people don't have email addresses and some people don't have a phone.

Right! And you have to check each box separately, each time, and acknowlege each checked box, each time.  A total waste!!

I agree. This is really annoying and a nuisance when having o change employee info, especially in larger files.

Anyone found a work around ?

The only thing I can think of is to enter nonsense values to defeat this stupid thing Intuit did. Something like stupid @ dumbIntuit.com for the email and some random numbers for the phone: 3141592 could be fun.

When are they going to fix this it really is a waste of time - adds too much time to our duties.?????

Both fields should not be required.

I hear your sentiments.

 

I know how important it would be if you could disable the option to enter an employee's phone number and email address when adding them to QuickBooks Desktop (QBDT) Accountant. 

 

At this time, there is no set date for when this option will be removed from QBDT. While we appreciate your input, it is subject to review and approval by our software engineers.

 

As long as you submit feedback to our product development team, you can be sure that we'll roll out updates on our website as soon as they become available. 

 

To do that:

 

  1. Go to the Help menu and select Send Feedback Online.
  2. Click the Product Suggestion option.
  3. Enter your feature request and select the Send Feedback button.

 

Additionally, you can make changes to your employee's profile in QBDT. Here's an article for the full steps: Edit or change employee info in payroll.

TAKE OUT the rule that FORCES adding phone and email for new employees. NO agency requires it for payment. LOTS of my employees don't have email and some have NO phone. If you're trying to make me switch accounting software, CONGRATS, you're succeeding!

I have two employees that when I add the phone number and save i keep getting the incomplete employee profile info error for the phone number requirement.  I have tried several different numbers-office, work cell and personal cell.  Nothing is working.  Not sure what to do now.

Change it to Main Phone number and it will get rid of the error.

The information above is for QuickBooks Online (QBO) users. It seems like you're having performance issues with your QuickBooks Desktop (QBDT). Don't worry, I know a couple of troubleshooting steps to resolve this.

 

We can begin by updating your QuickBooks Desktop and Data Server Manager on your hot or server. Also, make sure that your computer meets the system requirements to avoid issues along the process. If it still takes longer for the Employee Center page to load, there's a possibility that this issue is due to your company data file size. There are no actual limits on the size of your company data file, but performance may be hindered if your network is not capable of handling large data files. If you have a large file and performance is slower than what is needed, you can reduce the size of your company file

If the issue persists, it would be best to reach out to our QuickBooks Desktop Support team so they can further investigate the issue. They have the necessary tools to pull up your account securely and can create a ticket if need be.

The Employee Center is now showing an exclamation point for all employees without an email address, which is over 270 people. Only our office people receive checks and W-2s online, the rest do not.  It's so slow and nearly impossible to do anything in there. How do we turn off the email address requirement?

You're in the right place, @hoosierdp, and @TracyAK. I can help figure out why there is an exclamation mark next to some of your employees. 

 

When adding an employee, you'll have to ensure that all details are entered so you won't see a yellow exclamation point next to their name. You'll want to double-check each employee that has an exclamation mark if there is missing information. For more details about setting up an employee, you check this article: Add or edit an employee in Online Payroll

 

As a result, I recommend that you go over the employee's Tax withholding section. See the table in this article for more detailed instructions: Edit or change employee info in payroll.  

 

If you've checked and confirmed that everything has been added. However, if the problem persists, I suggest contacting our Support Team. They have the tools needed to conduct further investigation and, if necessary, create a ticket. Here's how to reach them:

 

  1. Log in to your QuickBooks Online company.
  2. Click on Help (?).
  3. Select the Search tab, then Contact Us.
  4. Choose a way to connect: 
    Start a chat with live support.
    Get a callback from the next available support.

The problem is when you have a ton of current employees who suddenly are required to have missing information inputted. It makes the employee center crazy slow and nearly unusable. This does nothing to resolve that.

This just happened to me in 2 different client's QB files today! So frustrating. When I contacted the Intuit help desk and explained that I wanted to know how this requirement could be disabled the guy told me that the information was required by THE IRS....ummmm no dude, it is not. He insisted that it was so I asked for the IRS Publication so I could read about it and he directed me to THIS FORUM! I told him I would just be entering made up information. The work around I have found is to upgrade the QB file to 2023 (these were both 2021) and so far that seems to have worked but only time will tell. Good luck to all who are trying to navigate yet another weird and unhelpful QB feature. In my opinion, Intuit is trying their best to make Desktop difficult in order to push everyone to QBO, which is 1000% times worse than anything I have ever seen in Desktop.

The fields and tabs may differ based on your payroll service. If your payroll service doesn't need the details for entering the email address and phone number, you can save them directly.

 

However, if it's required to enter their email address and phone number, you can create a dummy for them and enter it in their employee's info.
