Let's get things sorted out so you can setup payroll smoothly, @treeburnett-hotm.

To get past the send email option when adding an employee you have to ensure that the Ask this employee to enter their personal, tax (2020 W-4), and banking info with QuickBooks Workforce box is unchecked. This will let you fill in the W-4 information. Here's how:

  1. Sign in to your QuickBooks Online (QBO) account.
  2. Go to the Payroll menu.
  3. Select Employees.
  4. Click Add an Employee.
  5. From the Personal Info section, uncheck the Ask this employee to enter their personal, tax (2020 W-4), and banking info with QuickBooks Workforce box.
  6. Once done, go to Step 6 and add the employee's withholdings information.

For more guidance in setting up payroll in QBO, feel free to visit this article: Add a new employee to your payroll. It also includes detailed steps in the case have an employee who works/live in another state.

It's easy to track and monitor your employee information and your company's finances in QBO. To do so, you can pull up any payroll reports suit your needs. Each report has corresponding data that they display, you can also export or print them to have a handy copy that you can use as a reference.

I'm always around if you have any other concerns about setting up payroll in QBO. Feel free to post your reply below. Have a good one.
