Sick Leave Accrual

I have set up in the employee's sick leave accrue at .03333 for every hr worked with a max of 40 hrs.  For the past few weeks it keeps accruing past 40 hrs.  Why is this and how do I get it to stop without me going back in and changing it back?

Let’s resolve the issue with the employee’s sick leave accruing the past 40 hours. When calculating sick time, there are two calculation methods which are per hour or per paycheck.

 

To calculate basted on hours worked, you’ll take the number of hours they will accrue in a year and divide by 2080. If you want it to be based on per paycheck, you’ll need to take the total number of hours they will accrue in the year and divide it by the number of checks in the year.

We are looking to accrue 2.15 sick for an 80 hour pay period which works out to .0269 an hour, when entered in quickbook goes in at .02694 which accrues at 2.16 per pay period, when I adjust the hourly rate to .0268.8  it goes back to .02694, when I try to go lower it adjust it lower it then is only accruing  at 2.13. Why wont it take the number I enter

I'll share details about sick leave accrual hours in QuickBooks Desktop (QBDT) Payroll.

 

To accrue the 2.15 sick for an 80-hour pay period for your employee, you'll want to adjust the digits from the Hours accrued per hour paid under the Sick Accrual period on the Every hour on paycheck section. In that case, QBDT automatically converts it into the accrual hours you want.

From your screenshot it does look like QB accrued past the max balance of 40 hours you have set up, which it shouldn't do.

 

Still, it's kind of strange that your balance is so high at all, given that you have the option to reset at the start of the year set.  What happened there?  Did it not reset?

When you want to put a limits on how much Sick or Vacation time can accrue, you put the figure in the "Maximum number of Hours" field.  That being said, for the NYS Sick Leave, you need to continue to accrue hours even after 40.  They can only use 40 hrs in a calendar year, but  they can still accrue hours to have available at the beginning of the next year.

 

My concern is how QB has the accrual options (Beginning of Year, Every Paycheck & Every Hour on Paycheck) .  Accrued hours based on Every Hour, will accrue on all hours.  This includes when you use Vacation or Sick Time items, which should not be included.  It should only be on hours worked.  If you have payroll items for Holiday, Bereavement, Jury Duty, Sick or Vacation time, it will a calculate on all those payroll items and inflate the Sick Time that is accruing on the employee.

 

There needs to be a way to specify which payroll items should be used/included when indicating the "Every Hour on Paycheck" option to ensure Sick Leave is accruing correctly.

I have been trying to get the answer to this question and can't find it.  If you set up QB to accrue Sick Time by "Every Hour on Paycheck", does it indeed accrue on sick and vacation hours paid?  It should only be on Hours Worked (Regular hours).  Also, does it accrue sick time on Overtime hours worked?

Yes, for Every Hour on Paycheck, accrual is based on regular hours only. It does not accrue hours based on overtime or the hours used to pay for sick and vacation leaves.

QB Premier Edition 2020 Desktop continues to accrue sick leave for employees after they have reached their limit. This confuses the employees because it then reports that information on the paycheck stub. Without going into each paycheck and removing that checkmark to not accrue sick time how can this be resolved? I have gone through all of your knowledge base and my sick time is set up correctly.

After a 42 min phone call w/QB support, I can pass info on to you regarding how to set up sick pay so that sick pay does NOT accrue on top of sick pay or vacation pay being paid out.

1. Click on EDIT on top bar in QB home

2. Click on PREFERENCES on drop down menu

3. On left menu window click on PAYROLL & EMPLOYEES 

4. Choose COMPANY PREFERENCES tab @

 top

5. Click on SICK & VACATION DEFAULTS 

6. In the SICK & VACATION ACCRUAL area Check boxes that apply DO NOT ACCRUE:

□ Sick & Vacation

□ Overtime

This will prevent any future accrual but you will have to manually fix any incorrect accrual previous to this.

Take into consideration your company & state policies.

Has anyone gotten a good answer as to why this is happening?  I have read through the responses and checked all of my settings (they are correct).  I have an employee that reached the maximum on his last paycheck, he worked 88 hours, the system accrued 2.93 hours instead of only .53 which would have brought him to the maximum.   Do I now have to make sure to check the "Do not accrue sick/vac" on all of his checks for the rest of the year?

I am sorry to say, No. I have not gotten a good answer to this. It seems as though QB does not want to admit to an issue or fix what they know to be an issue. You as the user should not have to open each paycheck to remove a checkmark after tracking their sick leave in a spreadsheet to make sure you are correct. 

 

Sorry, I tend to get a bit riled up on this subject.

Hey Intuit Admins.  You may have noticed I stopped responding to all of the comments because they are all the same.  My set-ups are correct, yet all employees earning sick leave continue to accrue past 40 hours.  This is a problem with the system.  No one wants to correct it.  It seems all I find are problems with no real answers to correct.

Hi RWalczak -  The system should continue to accrue past 40 hours if you are in NYS.  It needs to continue to accrue so there are available hours on the 1st of January.  You do not need to allow an employee to use more than 40 hrs annually, but it still needs to accrue.  You can cap the accrual amount by adding a figure to the box 'Maximum number of hours to accrue' under the 'Hours accrued per hour paid' box, but again, NYS requires that you continue to accrue hours as long as the employee works.

 

The bigger issue is that it calculates the hours on 'Every Hour on Paycheck', which could include the actual Sick Time used, Vacation, Holiday hours, if you have multiple time tracking items.

As I have stated my set-ups are correct.  All the little tips and tricks that I have been given were useless and yet the system continues to accrue past 40.  And I am not in NYS, but if I told the system to stop accruing at 40 why would it ignore that?  BECAUSE THERE IS A GLITCH !!!

What was the solution to this?  To me it's an error in Intuits software causing this and the YTD total accrued to be incorrect on the paycheck stubs!   I've had not luck at all with a solution.

Our Support Team can pull up your account and gather the data that causes the YTD total accrued to be incorrect on paychecks. Once they have the complete details, they'll be able to correct the totals.
