Starting QB Payroll Mid Year

Our company has been using a third party web-based payroll service but would like to switch to using QuickBooks Desktop Payroll by April 1st. How do we set up the year to date balances for our employees before beginning to use QB Payroll?

Let's go to the Payroll Setup screen to add your employees year-to-date data. I'm here to ensure the process is a breeze for you. 

 

If you've recently bought QuickBooks Desktop Payroll and have already paid your employees for the year, we'll have to input their payroll data to ensure their W-2s are correct at the end of the year. For your books to be accurate, let's add any non-tax payments you've already made, such as child support or health insurance premiums.

 

To enter your payroll data: 

 

  1. In your company file, click Help at the top menu bar and choose About QuickBooks.
  2. Press Ctrl + Alt + Y or Ctrl + Shift + Y to open the Setup YTD Amounts window.
  3. Select Next and enter the date when you should the year-to-date (YTD) summary amounts affect your liability and expenses accounts. 
  4. Click Next to display the Earliest QuickBooks payroll date screen and enter the date you'll begin using QuickBooks payroll to create paychecks. 
  5. Press Next.
  6. To enter a YTD summary for an employee, select the employee's name and press the Enter Summary button.
  7. Once done, click OK and Leave
