Question

That doesn't look like the right Social Security number. Take a look and try again. Why does it give me this error when inputting a new employee? I know its correct

I can help you get past this issue, hr-titanmud.

To successfully add your employee's Social Security Number (SSN) to your account, you'll need to verify it using the SSN Verification Service. It's important to note that you can't use Individual Taxpayer Identification Numbers (ITINs) instead of an SSN. For your reference, you can visit this article: Correct your employee's SSN.

Once you've already reviewed your employee's SSN and you're still receiving the same error message, I suggest performing some troubleshooting steps. A cache-related issue is likely causing the situation. You can use a private or incognito window to rule out cache problems in your browser. Here are the shortcut keys:

  • For Mozilla Firefox browser: Ctrl + Shift + P
  • For Google Chrome browser: Ctrl + Shift + N
  • For Safari browser: Command + Shift + N

After that, you can log in to your QuickBooks Online (QBO) account and add your employee's SSN again. If it works, you can clear your browser's cache. This removes the webpage data that's causing the issue. If a private browser won't work, you can use other installed supported browsers.

Just in case you want to enter paycheck totals for your W-2 employees, you can check out this article for more guidance: Enter paycheck totals for your W-2 employees.

I'm still here to assist you if you've got any follow-up concerns regarding your employee's SSN. Feel free to add a reply to this thread. Stay safe!
