Timesheet import mismatch

I'm getting a mismatch with importing my employees hours.

From the attached image you can see that the hours in the excel file is 5.31 but 5.32 was imported.  I have checked the Excel file to confirm that the value is exactly 5.31 to rule out a rounding error.

This is happening with approx 10% of the hours I import.

Any insight would be greatly appreciated!

Thanks for taking the time to reach out to the QuickBooks Community, @drjsparker.

How are you doing today? I hope all is well.

I recommend checking that your time format matches with Excel. In QuickBooks Desktop there are two format options:

  1. Decimal: This uses the base 10 number system (0-9) to represent time. For example: one-half of one hour would be written as “.5” instead of 30 minutes.
  2. Time: This uses 60 minutes to represent one hour (or one whole). For example: ¾ or “.75” of one whole is 45 minutes (of one hour).

Here's how you can check your format in QuickBooks Desktop:

  1. Click on Edit From the top menu.
  2. Choose Preferences.
  3. Select the General tab
  4. Click on the Company Preferences tab.
  5. Under the Time Format section, tap on Decimal or Minutes.
  6. Hit OK to save your changes.

You can also utilize a 3rd party importer tool instead of using Excel. If this is something you're interested in, please use the link I'm including below to explore our 3rd party apps.

Please don't hesitate to let me know if you have any additional questions or concerns. Take care, and have a wonderful day!

It is set to use the decimal format.

I opened the Excel file that I'm importing using Wordpad (attached) to confirm that the number is in fact 5.31, but after it's imported into QB it shows as 5.32.

Thanks for circling back to this thread, drjsparker. I've got additional insights about imported timesheet data in QuickBooks Desktop (QBDT).

QuickBooks stores time data in minute intervals, regardless of how you input or import time data. Even if you've set it in decimal format, some decimal equivalents won't saved exactly. It is because decimals display hundreds of an hour, while there are only 60 minutes in an hour.

As a result, the time is rounded to the nearest minute when saved and then displayed as the closest decimal equivalent to that saved value. We recommend manually editing your time entries once imported to QBDT to ensure accurate employee work hours.

Moreover, I can see how this feature would be helpful for you and your business. I recommend sending this suggestion to our product development team. The more requests we receive about a specific feature, the more likely it gets implemented.

Here's how:

  1. At the top, select the Help menu.
  2. Choose Send Feedback Online and click Product Suggestion.
  3. Type in your feedback or feature request.
  4. Click the Send Feedback button.

Finally, QuickBooks offers a selection of payroll reports to view your employee's total earnings, deductions, and tax details over time. Reference this article for a complete list of available payroll reports containing instructions on how to access them: Run payroll reports.

Properly recording employees' work hours is essential to complying with wage and hour regulations. Comment below if you require additional assistance importing employees' hours to QBDT. We'll be happy to lend a hand again. Stay safe!
