Hello, I have an employee who is in charge of taking PDF invoices were receive via email and getting them "loaded up" into quickbooks as a "bill". The easiest way to do this in bulk seems to be to use the "Upload from Computer" to auto-populate an invoice that we then check for errors etc.

I've set up a custom user role that allows almost all access to Expenses except printing checks and paying bills. See attached picture for user permissions.  For some reason, this user can only manually create a bill. They cannot upload invoices from computer...

I called quickbooks support and their solution is to give the user full standard access - which is not appropriate for this employee. I have Quickbooks Advanced

THank you all!

We're pleased to have you here in the forum, Cpm881. I'm here to discuss details regarding the different roles available to allow users to upload bills in QuickBooks Online.

There are several roles and access permissions that you can select for a user to perform specific tasks within your company file. Since you want your team to add bills using the Upload from Computer feature, you can choose another role aside from the Standard all access that allows users to manage payables or expenses. Here are some:

  • Accounts payable manager (Standard limited vendors only)- Users with this role can see and manage everything with expenses, vendors, and accounts payable (A/P) reports.
  • Standard limited customers and vendors- Users with this role can access all customer and sales data and vendor and purchase information.
  • Expense manager- Users assigned to this role have access to expense transactions and vendors only.

For more information, you can refer to this article: User roles and access rights in QuickBooks Online.

Moreover, if you want to keep track of the changes made and who made these updates within your company file, you can scan this material for guidance: Use the audit log in QuickBooks Online.

On the other hand, consider reviewing these resources to learn a different way to send customer invoices through a network or receive bills directly in QuickBooks:
