I am trying to file W-2's for Virginia but because we have over 9,999,999 in payroll it will not let me. I was able to break up the Federal W-2's into 2 batches but do not have the option for Virginia and Virginia is not supported by the Excel W-2 option.

I'll be sharing some information regarding filing W-2s for Virginia exceeding the payroll limit in QuickBooks Desktop.

 

Current versions of QuickBooks Desktop allow W-2 forms for more than 800 employees; however, QuickBooks Desktop payroll does not support W-2 forms for total earnings exceeding $9,999,999.99. You'll have to manually file directly to the state.

 

You can file electronically from outside Virginia by using the information and amounts provided on your federal W-2 forms as a reference. Additionally, you can access the Payroll Summary Report and other tax liability reports to obtain the W-2 data required for the state.

 

You can follow these steps to run a payroll summary by employee, showing the total wages, taxes, deductions, and contributions for each employee:

 

  1. Navigate to the Reports section and choose Employees and Payroll.
  2. Select Payroll Summary.
  3. Set the date range as needed.
  4. In the Show Columns dropdown, choose Employee.
  5. Go to the Customize Report tab, then click on the Filters tab.
  6. In the Choose Filter section, scroll down and select Name from the filter list.
  7. Choose the specific employee from the Name dropdown.
  8. Click OK.
