Question

W-2 Forms don't line up

Hi,

I am trying to print W-2 forms for my employees but the printed documents don't line up with the forms I purchased.  The first W-2 on a page is correct, but the second seems to be a few lines too high.  I don't think that is something I can adjust.  Has anyone else had that trouble.  The test page doesn't line up either.

Thank you for your help.

Let me help fix the alignment when printing W-2 in QuickBooks Desktop (QBDT), IJ2022.

Before we troubleshoot the alignment, make sure to use a preprinted W-2 form. It's the form that's compatible with QBDT.

And, here's how to perform a print test on blank paper to check if the alignment is correct with the boxes in a preprinted form.

  1. Choose Employees, then click Payroll Tax Forms and W-2s and Process Payroll Forms.
  2. Click File Forms, then pick the Annual Form W-2/W-3 - Wage and Tax Statement/Transmittal and click the Create Form button.
  3. Choose either All Employees or Employee's Last Name.
  4. Enter a filing period in the Year field, then click OK.
  5. Hit Print/E-file.
  6. In the Print W-2 and W-3 Forms window, then click Print Test.

If the text doesn't align, you can follow the steps below to correct the alignment.

  1. Click Align in the W-2 and W-3 forms window, then in the Preprinted forms alignment page, then adjust the alignment.
  2. Hit Print Test to check the result of your alignment.
  3. If the alignment is already correct and accurate, click OK.

Once all set, you can continue printing W-2s. Here's a link as a guide: Learn all about printing your W-2 and W-3 forms with your payroll service. Choose the QuickBooks Desktop Payroll link for instructions.
