In Quickbooks desktop I need to change an employee's W-4 from 2020 or newer back to prior to 2020 and in the pulldown menu it won't let me change it back, it is greyed out. Why don't I have the option to do this?

No one does. For some unknowable reason, Intuit decided that once the option is changed to 2020 or newer, then you can't change it back. Of course, at the same time you, the employer, cannot demand that an employee fill out a new W-4, and so you're stuck.

 

Whoever made this change has no clue how the real world works, or just doesn't care.

I'm here to help you change your employee's W-4 information.

 

Since the option is greyed out, let's update your QuickBooks Desktop (QBDT) and Payroll. 

 

To begin, please open QuickBooks as an admin by right-clicking the QBDT icon and selecting Run as administrator. After opening QBDT as an admin, let's now do the update.

 

First, let's update your QuickBooks Desktop:

 

  1. At the top menu bar, click Help.
  2. Select Update QuickBooks Desktop.
  3. Follow the on-screen instructions.

 

Then, let's update your Payroll:

 

  1. At the top menu bar, click Employees.
  2. Select Get Payroll Updates.
  3. Follow the on-screen instructions.

 

I recommend contacting our QuickBooks Support Team if you encounter the same issue. This way, they can check this matter further and provide additional troubleshooting steps to resolve it.

 

After you have set up everything, you can assign pay schedules for your employees in QuickBooks.

You really don't know how QuickBooks works, do you?  Clearly, you didn't even try following your own instructions, since they'll have absolutely no effect.
