W2 E File to IRS

We are needing to Electronically file the W2's to the IRS.

Can you guide us where to look for instructions on how to send them?

Welcome to the Intuit Community. I'm the right person to help you e-file your W-2 form to IRS.

 

Are you already enrolled in the electronic filing service in QuickBooks Desktop? If yes, you can proceed to the next steps. If not, here's how to set up Federal W-2s for e-file:

  1. Click Employees.
  2. Choose Payroll Center.
  3. Choose the File Forms tab.
  4. Under Other Activities, click Change Filing Method.
  5. Click Continue.
  6. Select Federal Form W-2/W-3 from the list of forms and select Edit
  7. Choose the E-file radio-button.
  8. Click Finish.
  9. Close the View Enrollments window.
  10. At the lower left of the QuickBooks Desktop Payroll Setup window, click Finish Later.

 

Here's how to e-file the W-2s:

  1. Click Employees.
  2. Choose Payroll Center.
  3. Choose the File Forms tab.
  4. Highlight Annual Form W-2/W-3 - Wage and Tax Statement/Transmittal.
  5. Click the Create Form button.
  6. Select the employees.
  7. Enter the necessary fields.
  8. Once you're on the filing method window, make sure to select E-File Federal Forms.
  9. Enter the Phone Number and the E-mail address of your company on the login screen. We use that information to notify you about the submission process.
  10. Click Submit.

If I printed the W-2's and I efiled both Soc Security and the Wisconsin State Dept of Revenue with Intuit, do I still need to go to the WDOR website to enter the W2 information as well?

Good day, Laura.

 

You no longer need to go to your state agency's website to enter the W-2 information. Since you've used our E-file feature, our system submitted the W-2 form directly to them already.

 

If you have other payroll concerns, don't hesitate to drop by anytime.

Need to know how to file a corrected GA State W2 that has already been efiled

Thanks for joining the thread, Patti-Fbc. 

 

I'm here to ensure that you can file your W-2's successfully. 

 

We can create a W-2C and W-3c and manually file them with the Social Security Administration. 

 

Here's how: 

  1. Go to the Employees menu in your QuickBooks Desktop (QBDT), then select Payroll Center.
  2. Select the File Forms tab, and select Annual Form W-2c/W-3c - corrected Wage and Tax Statement, then Create Form.
  3. Choose the employee’s last name, and click OK.
  4. Click the employee(s) who need a W-2c, and select Review/Edit.
  5. Answer the question: Have you made the W-2 corrections in QuickBooks Desktop? If Yes - The current QuickBooks Desktop info shows in the Correct information column on the W-2c. Enter the Previously Reported amount for the items that should be corrected. Review each page and select Next as needed.
  6. Check the box Check if this is a W-2c (corrected W-2).
  7. Fill in only the lines that need to be fixed in both the Previously Reported and Correct Information columns. Do this on Federal, State and local info as needed.
  8. Remove the amounts from the remaining lines. Right-click on the amounts and select Override, then delete the amounts. Do this on Federal, State and local info as needed.

the social security admin said i can upload W2 files but they must be in txt format. what format does quickbooks automatically do for W2s? and if it is a pdf, how can i convert them to txt format?

Hello, Anne. 

 

I'll share some details about the current W-2 format in QuickBooks Desktop. 

 

Generally, QuickBooks saves the federal W-2 forms as a PDF file. Though, we're unable to set the format to a .txt file. 

 

However, we could use a converter and convert the W-2 PDF files to .txt format and give them to your social security admin. 

 

We can look for a converter in our QuickBooks Desktop app store: https://desktop.apps.com/home.

 

Alternatively, we can look for one in Google and see if there are any similar apps in converting your W-2 PDF files. 

 

Let's also keep in mind that state W-2s may have an option to be saved as a .txt format. Though, this depends on the state tax compliance.

HEY 

I'm from Louisiana and i have two questions:

1- is there any way to double check that the IRS accepted the efile like a website or something to check the status other than QB.

2- the state require us to file the w-2 and state withholdings on separate website (L-3), and the QB doesn't offer that service, is W2 EFILE enough or i have to go to the state website.

I'm here to share more information about checking the e-file status.

 

First, since you use the QuickBooks E-File service, you can track the status through your QuickBooks account only. However, I'd still recommend looking for an application that can help track the tax filing status. You can visit this link to search for an application: Intuit Applications.

 

Lastly, if you use QuickBooks Online Payroll Core, Premium, or Elite, your state W-2s are automatically filed with your Federal W-2s. That said, there's no need to go to a state website. When you e-file, your W-2s are sent to the SSA and state agencies.

We have always efiled our tax deposits, but we have tried to get approved for efiling 941s and W2s.  They will not approve because we either are already approved or our name doesn't match. 

 

When I chose to efile, it made me "register".  What can we do?

Since you're having trouble using your e-filing account which already exists, I'd recommend getting in touch with our Customer Care team. They'll be able to pull up the account in a secure environment and conduct further research with you.

 

They can be reached while using QuickBooks.

 

Here's how:

 

  1. In your top menu bar, go to Help, then QuickBooks Desktop Help.
  2. Click Contact Us.
  3. Enter a brief description of the issue in our Ask a question (or tell us what's wrong) field, then hit Continue.
  4. Select We’ll contact you for a callback or Message Us to start an instant messaging session.

 

Be sure to review their support hours so you'll know when agents are available.

I filed my client's W-3/W-2 using the e-file functionality in Quickbooks Desktop.  The problem is my program crashed after it finished submitting and now I can't find where to get the E-Filing confirmation that normally populates after transmitting is complete.  Am I able to retrieve that without having to print an audit trail of the e-filing?
