Question

We greatly overpaid an employee via direct deposit. What options do we have to get the original funds back into our checking account? The QBP entries are now correct.

Too much $$$ overpay to handle via the next payroll...any suggestions other than having the employee wire the funds back to our account? The Quickbooks payroll piece of this is done -- the incorrect amount voided and a new entry approved. Thanks.

Hi there, lauraflowera.

Thank you for visiting the QuickBooks Community. I'll share some details on what are the options you can have to get the funds back into your bank account.

Since you've mentioned that QuickBooks Payroll data are now correct, you'll have two options to get the original funds back into a checking account. First, you can either do an internal agreement with the employee to return the amount. Then, create a deduction and deduct the amount on the next payroll or inform the employee about the paycheck and will do an adjustment on the following payroll.

To start making deductions in the system, you'll have to go to the Employees section. From there, you'll see the option to create Deductions or contributions.

Here's how:

  1. Go to the Payroll menu and select the Employees section.
  2. Choose the employee's name.
  3. Select Edit ✎ next to Pay.
  4. From the deduction section, select + Add a new deduction or + Add deductions.
  5. In the Deductions/contributions dropdown menu, choose New deduction/contribution.
  6. Select a Deduction type and Type from the small arrow icon.
  7. Enter Provider name(appears on paycheck).
  8. From the Amount per pay period icon, choose $ amount or % of gross pay and enter the $ amount or percentage. Do the same for the Company-paid contribution as applicable.
  9. Click Save and Done.

For further details, you can open this article: Add or edit a deduction or contribution.

Lastly, you can refer to this article to see details on how to request a direct deposit reversal to return funds to your account: Reverse a direct deposit.
