Question

We have several bank accounts, and one is specifically for payroll. Can I control which users can view the details of the payroll account?

When we look at the GL account for the payroll account, we see each employee's check listed, so we need to restrict the person who reconciles the other bank accounts from reconciling this one bank account. Thank you for any suggestions.

I think that's something that can be done with Desktop Enterprise, but I'm not sure about QB Online.

Hello there, @LeeWhite12341.

I am aware of the advantages for businesses like yours. I want QuickBooks Online (QBO) to have this feature as much as you do.

However, QBO cannot restrict a user for just one bank account. However, I strongly urge you to share your thoughts with our software engineers. They carefully examine customer feedback, especially when determining how to improve QuickBooks.

Here's how:

  1. Sign in to your QuickBooks Online account.
  2. Go to the Gear icon and select Feedback.
  3. Type in your suggestion and click Next.

In the meantime, here is an article you can read about user roles: User roles and access rights in QuickBooks Online.

For future reference, I'm adding this article to guide you in managing users of your account: Add, edit, and remove authorized users.

Let me know if you have questions about managing users in QuickBooks Online. I'm always here to help. Have a great day.
