Question

We switched to QB online and it does not support certified payrolls! Is there a way to export payroll data to our desktop QB to run them with having to manually enter?

Thanks for connecting with us, @mmarchand. Let me guide you on how to export your payroll data into QuickBooks Desktop (QBDT).

First, let's set up your preferences in your payroll account. Please see the steps below:

  1. Go to the Gear icon, and select Payroll settings.
  2. In Export, select Edit.
  3. Choose your accounting software: QuickBooks Desktop for Windows.
  4. Select Continue.
  5. QuickBooks will create default accounts for your expenses, wages, and liabilities. You may modify these accounts by selecting Edit as it appears on your QBDT Chart of Accounts.
  6. Once done, select Done twice.

Next, let's export your payroll transactions. When processing payroll, we'll see an option to export the transactions from the most recent payroll run. We have several options for exporting your payroll transactions at any other time. Choose the one that best fits your scenario.

  • All payroll transactions.
  • Individual paychecks.
  • Accountants.

For further guidance, please read this article: Export your payroll data into QuickBooks.

Furthermore, here's an article to welcome you to QBDT Payroll: Get started with QuickBooks Desktop Payroll. It contains the necessary information and process to set up your new payroll service.
