Question

Where are my employees' W2s????

Here I am again, spending hours on the software I pay hundreds of dollars for each month-but I cannot find my employees' W2s anywhere. I have tried every possible troubleshooting mentioned by the Google searches I've done and nothing is coming up-there are simply no W2s. Anywhere.

My New Year resolution is to get rid of Quickbooks Payroll because it's not worth the hassle and stress this platform causes me on a regular basis. This is maddening to an already very busy business owner.

I acknowledge how valuable your time is, and it's our utmost priority to ensure you can smoothly maneuver through the platform, urm. I'm here to help you review your worker's W-2s in QuickBooks Online (QBO).

Beforehand, may I ask which instructions you've tried to follow and on which menu or page you've accessed to find the W-2s? Please know that to check this data, we'll need to navigate to the Resources tab of the Payroll Tax Filings section. Kindly follow these steps to proceed:

  1. Open your QuickBooks account.
  2. Go to the Taxes menu, then Payroll Tax.
  3. Select the Filings tab and click the Resources icon.
  4. From there, choose W-2s. Then, Manage W-2s from the Employee W-2s section.
  5. Select all or tick the Employees who need printed W-2s or Employees who want paperless W-2s.
  6. Hit View and print.

If the steps provided are not visible on your end, it could be due to your user permission. To confirm if you're permitted to review this data, check out this link: User roles and access rights.

However, if your accessibility in your QuickBooks company is not the issue, let's initiate browser troubleshooting procedures. It can help verify and eliminate excessive or outdated data build-up that can disrupt the platform's performance.

To start, please open your account using a private browser. Refer to the shortcut keys below that vary by browser type:

  • Microsoft Edge: Ctrl + Shift + N
  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Shift + N

When you can successfully locate the option to review the form from the Resources page of the Filings tab, it confirms a cache-related issue. This matter is fixable by reverting to your standard browser and clearing its cache and cookies. You can also consider using another supported browser if the problem persists.

Additionally, you can gather further details on how and when your W-2s are filed by checking this resource: Understand the timing for your W-2s.
