Question

Why do I see both a "DD Paycheck" and an "Expense" deduction from my cash account for the same employee on the same pay date?

It is deducting the amount twice from the cash balance.

Hi there, @userjfrancis. I'm here to help ensure that your transaction will no longer show twice in QuickBooks Online (QBO).

If you're using the online banking feature in QBO, the data we receive is based on what your financial institution sends over to us. Thus, before downloading the transactions, I suggest checking the mapping first to avoid duplication. And if you have manually recorded the entries, make sure not to add them to your online banking. This is to keep them from showing up twice in your account.

For the duplicate downloaded transaction, you can exclude them to keep your records in order. Let me show you how:

  1. In the left menu, click Banking/Transactions.
  2. Go to the Banking tab.
  3. Select the account from the list.
  4. Locate the duplicate.
  5. Tick the box for the transactions you wish to remove and press the Exclude menu.

Once done, the transaction will move to the Excluded section.

To know more about removing duplicate entries, I recommend visiting this article:  Exclude a bank transaction you downloaded into QuickBooks Online.
