Why does an employee show up as 3 different employees in timesheets but yet they are only listed once in my team in Payroll?

Let me provide the possible reasons on why an employee shows up as three different employees in timesheets in QuickBooks Online.

 

One of the causes is that the employee may have previously added to the software with an expanded name, such as extra characters, and it becomes inactive. To verify this, you can visit the Employees page and you can filter the page to see all inactive employees.

 

Here's how:

 

  1. Click the Payroll menu in the left panel.
  2. Choose Employees.
  3. Choose the drop-down arrow beside the search field. Then, choose Inactive Employees.

 

After that, please note that inactive employees will no longer be displayed on your active payroll list. However, their profile remains in your accounts and appears on reports, which is why they also appear on timesheets. You can edit the name of the active employee so it will only appear once in the Timesheets page.

 

If they are not inactive as employees in QBO, the person might also added as a vendor or customer in the program. To confirm this, I recommend reviewing their sections to see if they're on the list.

 

Here's how for the customer:

 

  1. Click the Sales menu on the left panel.
  2. Choose Customers
  3. You can use the search field to find the name of the person.

 

For vendors, you can follow these steps:

 

  1. Click the Expenses menu.
  2. Choose Vendors.
  3. You can use the search field to find the name of the person.

 

Once verified that the employee is also added as a vendor or customer, you can edit their name. This is done to ensure that you can only see the employee's name once in Timesheets.
