Change payroll weeks

I've recently taken over finance and payroll for a small charity. They are using QuickBooks payroll to pay salaried staff and hourly paid employees. However on each monthly payroll they've been using a spreadsheet to manually override what is being paid. This is because they've based salaries to be paid on 52.18 weeks. QuickBooks is using 52 weeks so the salary amounts and hourly rates don't match and are overridden every month. Is there a way to change the 52 to 52.18 weeks in QuickBooks? I've searched everywhere online and can't find the answer to my question.

In QuickBooks Online, we can manually update the annual salary amounts to compensate for the additional 0.18 weeks, dynamicwrexham.

 

Aside from that, we calculate the adjusted annual salary by multiplying the original salary by 52.18/52.

 

To adjust employee salary information, follow these steps:

 

  1. Go to the Payroll menu and select Employees.
  2. Click on the employee's name to edit their details.
  3. In the employee's profile, find the section for salary and click Edit.
  4. Update the salary amount with the adjusted figure and save the changes.

 

Alternatively, you can maintain the base salary (scaled to 52 weeks) and add an earnings type, such as 'Adjustment for 52.18 weeks', to offset the difference.

 

To add additional earnings:

 

  1. Go to the Payroll menu and choose Employees.
  2. Click on the employee's name to edit their details.
  3. In the employee's profile, scroll to the 'How much do you pay this employee?' section and click on "Add additional pay type.
  4. Select "Even more ways to pay" and add a new earning type named "52.18 Week Adjustment" or similar.
  5. Enter the appropriately calculated adjustment amount as a recurring item in each payroll period.

 

Both methods involve manual calculations to ensure accurate employee payments based on a 52.18-week year, thus eliminating monthly spreadsheet overrides. Remember to check for tax implications and regularly review setups to ensure they remain accurate and compliant.
