Question

Employees have been marked as leavers and P45s issued, but QB is still prompting a payroll run for the next month.

In the last pay run, all employees have been marked as leavers in their last payroll, their P45s have been issued, and the last FPS have been sent to HMRC (by Quickbooks). But Quickbooks is still showing that payroll is overdue (though we no longer have active employees on payroll) - see screenshot.

How do you switch off payroll? We've also cancelled our payroll subscription as we are no longer using this feature - all had been marked as leavers already.

Additionally, there's an alert under 'Taxes' that we should submit an EPS (for when no employees were paid in the period), but we no longer have employees and thus no one that needs to be paid (which might be different from having employees and not paying them).

Hi there, jsyp.

It's unusual to see an overdue payroll notification after processing the leaver and canceling the Payroll service in QuickBooks. This might be caused by a browser-related issue.

Your browser tends to collects cache that makes it easier to load the sites you visited previously. However, these files will become corrupted with time and can lead to problems. We can do some troubleshooting to rule this out.

Open an incognito or private browser. In this mode, none of your browsing history are saved. This means your activity doesn't show up in your browser history.

Here are the keyboard shortcuts:

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Safari: Command Option P

Then, sign in to your QuickBooks Online account and go to the payroll section. If you're not seeing the Overdue box, you'll want to clear your regular browser's cache. Please restart your browser afterwards.

You can also check your account using a different supported browser.

If you're getting the same result after the steps, I'd recommend contacting our Payroll Support Team. They can check your account and investigate what's causing this issue.

Here are the steps:

  1. Click the Help icon located in the upper right-hand corner.
  2. In the Help window, click the Contact Us button located at the bottom.
  3. Enter your question and click Let's talk.
  4. Choose either Start a chat or Call us.

If you have the new QuickBooks Assistant help update, you can follow these steps:

  1. In your QuickBooks Online account, go to the Help > Assistant.
  2. Type Talk to a human and proceed with I still need a human.
  3. Click the Contact us link.
  4. Select either Messaging or Callback.

I'm also adding this article for details about the P45: Employee P45 in QuickBooks Online Standard Payroll.

Feel free to get back to me if you have other questions or concerns. I'm always available to help. Have a great day!

Hi there, thanks for the prompt reply.

Just tried using incognito mode and/or clearing cache but the same issue or prompts appear. It's still saying overdue payroll, despite not having active employees.

Will try to get the issue resolved by contacting the Help Chat function and see how that goes!

I have exactly the same issue with our one employee being processed as a leaver in the last tax year, P45 done and then payroll subscription cancelled.  How do I get rid of all the overdue EPSs in the Payroll Taxes window as I don't have a live payroll???
