Question

Even though an employee is marked as a leaver, Quickbooks still presents a payroll run every week for him. How can this be halted please?

Hello there, @accounts36.

I'm here to help you properly tag your employee as a leaver so QuickBooks will stop running payroll.

I understand that the employee is already marked as a leaver. You also need to do the following:

  • Run their final payroll and send an FPS.
  • Give the employee a P45.

The P45 will be available once you run their last payroll. You can access it on the Documents tab of the employee's profile.

After marking the employee as a leaver and submitted to HMRC, you cannot reactivate the. You will get a notification when you get to pay the employee's final payroll. After sending an FPS, We'll tell HMRC that you already paid the employee.

Then, you can create a P45 to close the employment record. If you can't see the leaver's profile in the Employees tab, select the Active employees' button and change it to list Leavers.

You can read this article for the detailed steps: P45 form in QuickBooks Online Standard Payroll.

Lastly, here is an article about employees and payroll: Standard Payroll hub | QuickBooks Online.
