Welcome to the Community, @Sammi D.

Let me lend a hand with your payroll concern in QuickBooks Online.

If you're referring to changing the employee's pay schedule, you can update it through their profile. Let's go to the Pay section, then scroll down to number 2.

Here's how:

  1. On the left panel, click Payroll.
  2. Go to the Employees tab.
  3. Select the employee.
  4. Press the pencil icon next to Pay
  5. Go to Step 2, then hit the pencil icon to edit.
  6. Update the information and click Done

To change the paycheck date, you can also visit the Change or edit paycheck date article for detailed instructions.

Additionally, I recommend the following resource, which contains some information about the payroll schedules, as well as customizing an employee:

Hi,

The screenshots you have sent do not match what I am using. I am using quickbooks standard payroll.

This is what comes up when I try to change it....

"Since you've already paid this employee, you can't change or edit their pay schedule.

Once you run payroll for an employee, you won’t be able to edit, change or delete their pay schedule."

I need to change the dates or the payslips will not match. Please tell me how to do this. Constant problems since changing from QB desktop / Payroll, to QB Online. I had hoped it would make things easier but its just constant problem after problem.

Thanks for sharing additional clarifications about your concern, Sammi D.

Allow me to jump in and provide information with your query about changing pay schedules.

Looks like the payroll has already been processed or submitted reason why you get the prompt message. In QuickBooks Online (QBO) Standard Payroll, you're only allowed to edit the pay schedule if you have not yet submitted your first payroll. If you do, you'll want to deleted your first submitted payroll.

Before you decide to delete the pay run, please take note of the following:

  • You cannot delete just one payment in a payroll. If you delete a payroll, QuickBooks Online deletes all of the employee payments in the payroll.
  • If you're trying to correct an employee payment, you can make changes in the next payroll, The FPS for the next payroll will reflect the updates.
  • If you need to delete an entire payroll, be sure to print out all the payslips and reports beforehand. Then you have all the information you need for all the employees you've paid when you recreate the payroll.

Here's how to delete them:

  1. Go to EmployeesPayroll.
  2. In the Payroll History section, select the most recent period.
  3. On the Payroll details page, click Action and select Delete Payroll.
  4. Type Yes in the box, then click Delete.
  5. Repeat for any additional pay runs you require.

To give more idea about the process of changing your pay schedule using the QBO Standard Payroll, please see this article: Edit your company pay schedule in QuickBooks Online Standard Payroll.

If there's anything I can help you with, feel free to drop me a reply below. Hope you have a good one.

Hi, cant delete the payrolls previous as they are all correct, the change needs to be effective as of this week, so needs to be changed before the next payroll date on Wednesday.

Please advise ASAP!

Hiya Sammy D, With the Standard payroll once a payment schedule has been set you're unable to amend this once payroll has been ran, the only way to change the pay schedule would be to roll back the payroll. Is the reason to change the schedule because it was set up incorrectly in the first place or have you changed the schedule?

We have changed the schedule due to the new way of working!

So i cannot roll back all the other payroll entries as they are all correct.

Please advise how i have change this going forward as i dont want the payslips to be incorrect for the next 40/50 years!
