Question

Hi. The dashboard information is available to ALL users, which includes all staff salaries?Whilst there is a privacy button, this can be unticked to view again?

There are 3 types of user. Admin, standard and limited.
In dashboard, click the " this financial year tab" and all standard users can view all staff salaries. ie receptionist can view accountant salaries, this can't be correct?

Hello, kevin172.

A Standard User is a user that can have full or limited access, without admin privileges. If your staff is set up as a standard user with limited access to customers and suppliers, he/she should not see your bank account or have access to your bank register.

However, If you've selected the All button, your staff can see and do everything other than with your customers and suppliers transactions.

To learn more about user roles, we can visit this article: User roles and access rights in QuickBooks Online. It will help us understand what role we should give based on their work.

Also, when we set them up as standard users, QuickBooks allows us to choose the user’s access rights (all access, limited access, or none). We can edit their role from the Manage Users page. Here's how:

  1. Click Settings.
  2. Tap Manage users.
  3. Find the user you want to edit. Then select Edit in the Action column.
  4. Change the User type.
  5. Select the user settings you want to manage.

Also, we can check this article to learn more about the usage limits in QuickBooks Online: Usage limits by subscription.

However, If you unable to make any changes at the role or unticked it, I recommend use a private browser/Incognito since it doesn't store data in the cache.

For Mozilla Firefox and Internet Explorer, you can press CTRL + Shift + P on your keyboard. For Google Chrome, hit CTRL + Shift + N. Press Command + Shift + N if you’re using Safari.

If you can make any changes using a private browser, go back to your regular browser. Then, clear the cache to improve your browser's overall performance. If private browsing doesn’t work, you can use another browser.

I'm always here to help with any of your QuickBooks concerns, especially managing users and access rights in the program. Take care always.
